POSITION OVERVIEW
Alpha Quality Express Inc. is urgently hiring a highly organized, detail-oriented Executive Assistant to support company operations and work closely with the company principal on daily tasks, reminders, coordination, and execution.This role is critical to the smooth running of the business. We are looking for someone who is structured, proactive, and extremely reliable. If you miss details, forget follow-ups, or dislike reminders and systems, this role is not for you.
KEY RESPONSIBILITIESExecutive & Administrative Support
- Act as the primary assistant to the company principal for day-to-day operations
- Manage schedules, reminders, deadlines, and follow-ups
- Ensure nothing falls through the cracks—tasks, meetings, or commitments
- Organize daily, weekly, and monthly priorities
- Prepare summaries, notes, and action items from instructions or meetings
Operations & Coordination
- Assist in monitoring operational tasks and ensuring they are completed on time
- Coordinate with suppliers, staff, and external partners as needed
- Track requests, documents, approvals, and deliverables
- Follow up on pending tasks and escalate delays when necessary
- Maintain clear records of transactions, communications, and workflows
Organization & Systems Management
- Create and maintain organized filing systems (digital and physical)
- Track important documents, contracts, and operational files
- Maintain task lists, calendars, and operational trackers
- Help improve workflows and internal systems for efficiency
Communication & Reminders (Very Important)
- Provide timely reminders for meetings, deadlines, and commitments
- Relay instructions clearly and accurately
- Ensure messages, requests, and updates are properly documented and followed up
- Act as a gatekeeper to ensure priorities are handled properly
QUALIFICATIONS & REQUIREMENTS
- Proven experience as an Executive Assistant, Operations Assistant, or Administrative Assistant
- EXTREMELY detail-oriented (this is the most important requirement)
- Highly organized and systematic in handling tasks
- Strong time-management and follow-up skills
- Able to work independently with minimal supervision
- Professional, discreet, and trustworthy
- Excellent written and verbal communication skills
- Comfortable using digital tools (email, calendars, spreadsheets, task managers)
- Ability to handle pressure and multiple tasks without losing accuracy
