ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

Inbound Freight & Shipment Coordination

• Coordinate with freight forwarders and carriers to manage international shipments to the United States.
• Communicate with freight forwarders, custom brokers, and internal departments to coordinate international shipments.
• Assist with preparing and reviewing import/export documentation, including commercial invoices, packing lists, and shipping documents.
• Help ensure compliance with US Customs regulations, partner government agency (PGA) requirements, and internal policies.
• Support the product classification process using the Harmonized Tariff Schedule (HTS).
• Monitor delivery timeliness and proactively communicate shipment delays, risks, or changes.
• Ensure timely handover of shipment documentation and maintain clear records of inbound activity.

Vendor Compliance & Chargeback Administration

• Monitor supplier performance against agreed shipping, documentation, labeling, and scheduling standards.
• Document non-compliance incidents and issue supplier chargebacks with supporting evidence and corrective guidance.

Discrepancy Reporting & Communication

• Report shipment discrepancies to the US-based Purchasing and Accounts Payable teams with sufficient detail for resolution.
• Coordinate with support staff in China and the Philippines to follow up on missing or incomplete shipment details.
• Maintain consistent and professional communication with vendors to resolve issues and reinforce compliance expectations.
• Stay informed of basic US and international trade compliance rules and changes.

ERP (NetSuite) Data Management

• Accurately input and update inbound shipping data in NetSuite, including shipment status, carrier details, documentation, and delivery confirmations.
• Ensure data accuracy regardless of whether updates are manual, entered by other team members, or imported via ERP integrations.
• Perform routine audits and resolve discrepancies to uphold data quality standards.
• Support department reporting, filing, and project-based compliance tasks.

SKILLS AND QUALIFICATIONS

• Graduate with a bachelor's degree in business administration, Supply Chain / Logistics, International Trade, or any relevant field.
• Strong understanding of international shipping practices, import documentation, and US delivery requirements.
• Strong attention to detail and excellent organizational skills.
• Demonstrates strong time management skills to handle multiple responsibilities and meet deadlines.
• Familiarity with retail supply chains and product data is a plus.

Experience

• Minimum of 3 years of experience in logistics, international shipping, or vendor compliance.
• Preferably experience with consumer electronics.

Technical or specific skills (e.g. technical, computer)

• Fluent English communication skills, both written and spoken, with experience coordinating across time zones and cultures.
• Proficient in NetSuite or similar ERP platforms with emphasis on logistics-related data management.
• Advance Excel skills for reporting and tracking vendor performance
• Excellent knowledge in Microsoft Office (especially Excel and Outlook)
• Proficient in intermediate mathematics, including financial calculations, with advanced expertise in statistical methods and data analysis.
