Be part of our client's team as a Client Services & Administration Officer, supporting financial advisers by managing client data, implementing investment and insurance strategies, processing transactions, and coordinating administrative tasks. You'll ensure accuracy, deliver exceptional service, and play a key role in shaping clients' financial journeys.

Who You'll Be
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Ability to manage multiple priorities in a fast-paced environment
- Professional communication skills, both written and verbal
- Proactive problem-solving and initiative
- 3-5 years of experience in financial services administration or client services
- Familiarity with CRM systems (Xplan preferred)
- Knowledge of investment platforms and insurance providers
- Proficient English language skills for corporate communication
- Diploma of higher education in Financial Planning (desirable but not required)
What You'll Do
Client Administration & Data Management
- Maintain and update client personal and financial information, including income, assets, liabilities, expenses, and financial goals
- Conduct research on clients' existing products by liaising with platforms and insurers
- Ensure accuracy and currency of client profiles within CRM systems (e.g., Xplan)
- Manage client document storage and version control within CRM and cloud platforms (SharePoint, Dropbox, OneDrive)
Advice Implementation & Transaction Processing
- Prepare and process forms for contributions, rollovers (full and partial), withdrawals, fee consent, adviser nominations, and account amendments
- Facilitate account opening and maintenance across investment platforms (BT, Hub24, Macquarie, North)
- Execute investment transactions including switches, rebalances, tranche orders, and in-specie transfers
- Support implementation of retirement strategies such as Pension commencements and Transition to Retirement (TTR) strategies
Insurance Administration
- Prepare insurance applications, pre-assessment questionnaires, and quotations across providers (AIA, Acenda (MLC), Clearview, Metlife, Neos, TAL, Zurich)
- Coordinate with underwriters regarding medical requirements, reinstatements, and policy alterations
- Monitor risk clients to manage overdue premiums, lapses, and potential clawbacks
Reporting & Documentation
- Prepare client fact find updates, Centrelink schedules, and ongoing review documentation including insurance schedules, portfolio summaries, contribution schedules, and product comparison checklists
- Prepare annual ongoing service arrangement renewals
Communication
- Liaise effectively with team members, clients, providers, and dealer group staff
- Provide timely updates to clients and internal stakeholders within required timeframes
