JOB HIGHLIGHTS

Responsible for recording and updating invoices, delivery receipts, and inventory records in the Accounting and Inventory systems. Verifies and validates received local and imported items, generates item codes and GRNs, and ensures accurate reporting to management. Assists in quarterly inventory monitoring, reconciliation, and proper handling of returned or defective items.

KEY RESPONSIBILITIES

  • Record and update invoice and delivery receipts (DRs) in the Accounting System.
  • Handle and update local inventory records of all received items.
  • Files approved local Purchased Orders (POs) for documents and audits.
  • Request and process PO approvals in QNE.
  • Forward supplier invoices/DR with PO copies to Accounting and notify via email.
  • Encode and update details imported shipments and POs in both Accounting and Inventory systems.
  • Generate items codes for new imported shipments POs and print Good Receive Notes (GRNs) for Accounting.
  • Verify and validate all received imported and ALX shipments items, and send receiving reports to the  EVP for confirmation.
  • Prepare transmittal receipts for returned or defective items.
  • Coordinate with Logistics for supplier returns and replacements.
  • Handle inventory adjustments for returned or defective items.
  • Assist in retrieving costumer return items for proper recording and supplier return processing.
  • Can assist in quarterly inventory for proper monitoring and reconciliation.

JOB REQUIREMENTS AND QUALIFICATIONS

  • Bachelor's degree business administration, Supply chain Management, Logistics, or a related field preferred. Associate degree, vocational training, or equivalent experience may be accepted with a strong track record in warehouse operations.
  • At least 1-2 years of experience in inventory controls, warehouse operations, or related administrative work.
  • Familiarity with inventory management systems or ERP software in as advantage.
  • Strong attention to details and accuracy in data encoding and record-keeping.
  • Proficient in Microsoft Office (Excel, Word, Outlook) and other office productivity tools.
  • Basic understanding of warehouse and inventory management processes (receiving, issuing, and stocks reconciliation).
  • Awareness of import and local shipment procedures.
