1 JOB OVERVIEW

As a WHS Administrator in Free Your Time, your role is to support the client by providing dedicated administrative support to the Workplace Health and Safety (WHS) function. This role is responsible for preparing draft risk assessments, site layout plans, and emergency management documentation for review; maintaining WHS records; and ensuring timely, accurate data entry into safety systems. The WHS Administrator supports project teams, site leads, and the HSEQ function by facilitating the smooth flow of WHS documentation and contributing to audit readiness.

2 DUTIES AND RESPONSIBILITIES

  • WHS Documentation and Drafting

o Prepare draft risk assessments for review by Project Managers.

o Create draft site layout plans and emergency management plans based on project requirements.

o Assist with development of Project Management Plans.

o Maintain version control for WHS documentation.

  • Record Keeping and Data Management

o Enter WHS data into registers, databases, and document control systems.

o Ensure safety records are complete, current, and easily retrievable.

o Track and follow up on outstanding WHS documents.

  • Audit and Compliance Support

o Assist in preparing WHS documentation for internal and external audits.

o Compile audit evidence as requested by the HSEQ team.

o Track WHS actions and corrective actions through to closure.

  • General Administrative Support

o Support WHS Advisors and Managers with scheduling, meeting preparation, and follow-up.

o Distribute WHS communications and ensure relevant records are updated.

3 QUALIFICATIONS AND SKILLS

  • Bachelor's degree or diploma in Occupational Health & Safety, Environmental Science, Business Administration, or a related field.
  • Previous experience in an administrative role.
  • Strong organisational and document management skills.
  • Proficient in Microsoft Office Suite and basic design/layout software.
  • High attention to detail and accuracy.
  • High attention to detail and proactive problem-solving attitude
  • Knowledge of WHS processes and systems.
  • Experience in preparing safety-related documentation.
  • Familiarity with ISO45001 or similar standards

4 REQUIRED EQUIPMENT

  • Reliable computer or laptop with an at least two monitor/screen
  • Noise-cancellation headset with mouthpiece
  • Clear webcam
  • Stable wired Internet connection, NOT pre-paid wireless modem or dependable on cellular network only.
