Technical Records Controller

JOB SUMMARY

The Technical Records Controller is responsible for ensuring the accurate and timely updating, verification, and maintenance of all aircraft technical records, integrating data from DFPs into AMOS, and guaranteeing compliance with the Philippine Civil Aviation Authority (CAAP), customer requirements, and internal Aplus standards. This role ensures that technical documents are reviewed, discrepancies are addressed, and accurate records support maintenance forecasting, operational safety, and regulatory audits for Aplus Base Maintenance operations

DUTIES & RESPONSIBILITIES

• Accurately update and integrate maintenance task data from DFPs into AMOS, ensuring consistency between digital/physical documents and system entries to prevent overdue scheduled tasks.
• Perform maintenance review of aircraft technical records received from Line Maintenance Control (LMC) and Aircraft Coordination Center (ACC) for completeness, accuracy, and compliance.
• Gather, organize, maintain, and archive digital and hard copies of aircraft maintenance records, including logbooks, work orders, inspection reports, engine/component records, Airworthiness Directives (ADs), and Service Bulletins.
• Report and resolve discrepancies and incomplete data promptly, coordinating with Maintenance Operations and escalating to supervisors and AMOS administrators when necessary.
• Monitor deferred defect tasks (ADD, CDL, MEL, CFI) in AMOS and ensure accurate recording of times, descriptions, references, personnel involved, and limitations.
• Update daily workload status reports (e.g., A-Check, engine/APU changes, safeguard events) and support AMOS updates during daily AOG meetings.
• Assist in the preparation of technical documentation for internal and external audits (QA, CAA, Customers).
• Ensure the proper storage, security, and maintenance of technical documents, complying with regulatory and company requirements for document protection and retrieval.
• Support the proper disposal of aircraft maintenance records beyond the retention period as per records management policies.
• Liaise with internal departments and customer representatives regarding technical records transmittal and retrieval requests. Perform other duties that may be assigned by the Supervisor and/or Director.

EDUCATION & TRAINING

• Graduate of any Bachelor's Degree in Aviation, Aircraft Maintenance, Engineering, Information Technology, Aviation Management, Business Management, Data Science, or related disciplines.

KNOWLEDGE & EXPERIENCE

• Minimum of 1 year experience in technical records management, aircraft maintenance documentation, or related field.
• Strong knowledge and understanding of AMOS or equivalent Maintenance and Engineering (M&E) systems.
• Familiarity with the requirements of Philippine Civil Aviation Regulations (PCAR) related to maintenance records.
• Experience supporting audits (internal, regulatory, and customer audits) with technical documentation preparation and compliance checking.
• Knowledge of aircraft maintenance processes for Airbus, Boeing, and ATR aircraft types is an advantage.

SKILLS & ABILITIES

• Highly detail-oriented, with strong analytical skills for verifying large volumes of technical data.
• Proficient in AMOS, Microsoft Office Suite (especially Excel), Adobe Acrobat, and other document management tools.
• Ability to work under pressure, prioritize multiple tasks, and meet strict deadlines.
• Strong business writing and communication skills to coordinate across different departments and customers.
• Ability to ensure accuracy, completeness, and timeliness of all technical records while maintaining confidentiality and data integrity.
• Must demonstrate strong organizational skills and the ability to work independently and within a team environment.
