Scope of work:
managing the executive's schedule, correspondence, and travel, while also handling administrative tasks like preparing reports, taking meeting minutes, and maintaining confidentiality. The role requires exceptional organizational, communication, and technical skills to act as a liaison between the executive and other internal and external stakeholders.
Key responsibilities
- Administrative support: Perform tasks like managing emails and phone calls, organizing files, preparing documents and presentations, and managing office supplies.
- Scheduling and calendar management: Coordinate and schedule meetings, appointments, and travel arrangements for the executive.
- Communication and liaison: Serve as the primary point of contact between the executive, employees, clients, and other partners.
- Meeting support: Coordinate meetings, prepare agendas, take minutes, and follow up on action items.
- Information management: Filter and distribute correspondence, manage confidential information with discretion, and organize the office filing system.
- Project and research support: Assist with special projects, conduct research, and help analyze data or prepare reports.
Required skills and qualifications
- Experience: Proven experience as an Executive Assistant or in a similar administrative role.
- Technical proficiency: Strong knowledge of office software, including Microsoft Office Suite, and familiarity with scheduling and other office applications.
- Organizational skills: Outstanding organizational and time management skills to handle multiple priorities effectively.
- Communication skills: Excellent verbal and written communication abilities.
- Discretion and professionalism: The ability to handle sensitive and confidential information with discretion and maintain a high level of professionalism.
- Interpersonal skills: Strong interpersonal skills to liaise with internal staff and external partners.
