Under the supervision of the GSD Admin Officer, this key position provides essential administrative support to the General Services Department, ensuring efficient operations related to facilities management, procurement, record-keeping, and other administrative tasks. This role supports the team in maintaining organizational efficiency and effective service delivery.
Duties & Responsibilities:
- Maintains and updates database and records such as but not limited to monitoring of vehicles and equipment preventive maintenance and/or repair, purchase requests, funding and reimbursement requests, and the likes, for easy reference and tracking.
- Coordinates maintenance and repair requests for facilities and equipment.
- Accomplishes request forms for purchases and office supplies issuance for all requested items of the department in order for them to carry out their tasks and execute repairs and maintenance of the facilities and job order requests.
- Conducts sourcing, qualifies, assists in accreditation and supplier assessment and develops supplier relationships, participates in and proactively engages in supplier evaluation/qualification to create and maintain effective partnerships with suppliers.
- Prepares and processes funding requirement documents for payment of utility bills, rentals, outsourced services supplier, permits, purchase requests and the likes, to ensure timely payments.
- Collaborates with other departments and stakeholders to achieve project objectives and deliverables. Supports special projects or initiatives related to the department.
- Assists in organizing safety drills, compliance documentation, and training sessions.
- Maintains cleanliness and organization of storage areas and common spaces.
- Prepare reports, memos, and correspondence as needed.
- Ensures compliance to company rules and regulations
Requirements:
- Bachelor's Degree of any course.
- At least (1 year) of work experience in relevant or related role/capacity.
- 1 year or more of relevant and related experience in BPO industry is an advantage.
