Job Purpose

Responsible for managing customer requirements as defined in the Hub Agreement, ensuring smooth port call coordination, accurate financial documentation, and excellent service delivery to cruise line principals.


Key Responsibilities

  • Manage end-to-end handling of Proforma, Final, and Supplementary Disbursement Accounts (PDA, FDA, SDA), including documentation, review, and submission for approval.
  • Analyze port tariffs, historical data, and agent estimates to prepare accurate cost forecasts.
  • Review and validate disbursement accounts in line with Principal guidelines and contractual terms.
  • Ensure alignment of financial data between the Principal's CRM and internal systems.
  • Act as the main point of contact for Principals and local agents, resolving queries promptly.
  • Prepare and distribute Statements of Account and other required reports on schedule.
  • Oversee payment follow-ups and ensure correct fund allocation to ports.
  • Maintain accurate and compliant records and filing systems.

Performance Indicators

  • Timely response to customer and Principal requirements
  • Accuracy and timeliness of Disbursement Accounts
  • Achievement of Hub Agreement profitability and efficiency targets
  • Effective vendor management and KPI compliance
  • Adherence to company QHSSE standards

Health & Safety Responsibilities

  • Participate in risk assessments and required safety trainings
  • Follow safety procedures and use PPE as required
  • Report accidents, near misses, or safety concerns promptly
  • Promote a strong safety culture in the workplace

Qualifications

  • Bachelor's degree in Business Administration or related field, or at least 2 years of relevant work experience
  • Experience in ship agency operations or related maritime/shipping functions preferred
  • Proficient in English (written and spoken)
  • Strong organizational and time management skills
  • Computer literate and comfortable using CRM systems
  • Able to work independently and meet deadlines
