We're hiring a Full-Time Financial Operations Specialist (Remote) who will oversee the entire financial heartbeat of Property Rush. You'll manage the books, own month-end close, produce financial statements, keep cash flow predictable, protect margins, and give leadership the clean data needed to make informed decisions.

This is a role for someone who is reliable, disciplined, detail-obsessed, and hungry for growth inside a fast-paced real estate company. This is not data-entry bookkeeping. This is high-ownership financial leadership

What You'll Do

20% – BIG ROCKS (Critical Financial Responsibilities)

These are the highest-level, do-first, mission-critical responsibilities:

Month-End Close (Complete Within 10 Days)

  • Reconcile all accounts (cash, credit cards, loans, AR/AP, escrow, deposits).

  • Generate accurate monthly financial statements (P&L, Balance Sheet, Cash Flow).

  • Deliver clean, final books to leadership every month.

Cash Flow Forecasting (12-Month Rolling)

  • Maintain a real-time cash flow forecasting spreadsheet.

  • Track all upcoming obligations and expected income.

  • Keep forecast accuracy within 5% variance month over month.

  • Plot all contractor invoices, recurring expenses, and property obligations before payment approval.

Budgeting & Reporting

  • Help build and maintain annual budget.

  • Produce monthly variance reports (budget vs actual).

  • Flag overspending, slow payers, or margin compression before it becomes a problem.

Compliance & Tax Prep Support

  • Maintain clean books for CPA review.

  • Track 1099 vendors, reconcile receipts, and prepare files for tax season.

  • Ensure real estate–specific compliance (security deposits, escrow tracking, PM fees, rehab costs).

Process Improvement

  • Build scalable bookkeeping systems.

  • Automate workflows inside QuickBooks / Xero / Google Sheets.

  • Improve accuracy and reduce manual entries.

80% – DAILY & WEEKLY FINANCIAL OPERATIONS

These are recurring tasks that keep our financial engine running:

Accounts Payable

  • Process vendor invoices.

  • Verify job-cost accuracy for property rehabs.

  • Ensure 100% on-time payments.

Accounts Receivable

  • Track incoming rents, investor payments, loan payments, and revenue.

  • Follow up on late payments with professionalism.

Payroll & Contractor Payments

  • Prepare payroll reports for U.S. processor.

  • Track hours, reimbursements, and recurring contractor fees.

Property-Level Bookkeeping

  • Track rehab budgets, cost overruns, and job costing by line item.

  • Reconcile utility bills, rent rolls, deposits, escrows.

Financial Organization

  • Maintain organized digital filing for statements, invoices, and documents.

  • Keep leadership's financial dashboard updated weekly.

Weekly/Monthly Reporting

  • Weekly cash position update.

  • Weekly AR/AP status.

  • Weekly/Monthly KPI dashboard.

No major findings or issues during annual tax prep or audits.

Help us lower expenses and improve margins every single quarter.

Skills & Requirements

  • 3+ years bookkeeping/accounting experience (real estate preferred).

  • Strong QuickBooks Online or Xero experience.

  • Strong Excel/Google Sheets skills (pivot tables, formulas, formatting).

  • Experience with AP/AR, reconciliations, and financial reporting.

  • Fluent English (written and verbal).

  • Reliable computer + internet.

  • Ability to work U.S. hours (EST preferred).

  • Experience with multi-entity bookkeeping is a major plus.
