Key Responsibilities

1. Documentation & Records Management

  • Maintain organized records of contracts, correspondence, and compliance files
  • Submit reports (Gantt charts, executive summaries, MBS) on schedule
  • Ensure ≥98% documentation accuracy and ≤15-minute retrieval time

2. Coordination & Communication

  • Schedule meetings, prepare agendas and minutes
  • Act as liaison between teams and stakeholders
  • Respond to inquiries within 24 hours and maintain ≥90% stakeholder satisfaction

3. Resource & Logistics Management

  • Track and manage supplies and procurement timelines
  • Coordinate logistics and delivery schedules
  • Ensure ≥98% resource availability and ≤2% logistics error rate

4. Budget & Financial Assistance

  • Record expenses and assist in budget monitoring
  • Prepare accurate expense reports and process reimbursements within 3 working days

5. Compliance & Risk Support

  • Assist in compliance documentation and risk assessments
  • Resolve audit findings within 2 weeks
  • Maintain 100% compliance documentation rate

6. Team Support & Engagement

  • Address team requests promptly (≥95% fulfillment rate)
  • Organize engagement activities with ≥85% participation
  • Gather feedback and improve administrative support

Qualifications

  • Bachelor's degree in Business Administration, Management, or related field
  • Minimum 2 years of experience in project administration or coordination
  • Strong organizational and communication skills
  • Proficiency in MS Office and project tracking tools
  • Experience in compliance documentation and budget monitoring is a plus
