Business Solutions Specialist

Job Summary:
The Business Solutions Specialist is responsible for supporting the operational and administrative functions of MT Solutions Incorporated. This role involves managing business processes, performing clerical and administrative tasks, and overseeing billing and collections through QuickBooks. Key responsibilities include maintaining accurate financial records, facilitating communication with clients and internal teams, drafting and sending contracts, and ensuring timely execution of documentation. The position requires strong organizational skills, attention to detail, initiative, and the ability to work independently with minimal supervision.
Key Responsibilities:
Business Operations
- Manage billing and collections using QuickBooks
- Prepare and send invoices; monitor accounts receivable and follow up on overdue payments
- Generate financial reports and reconcile records to resolve discrepancies
Administrative Support
- Fill in contracts and formal documents using templates
- Send contracts and communications to clients
- Maintain organized filing systems (digital and physical)
- Assist with scheduling, documentation, and day-to-day office operations
Client Communication
- Communicate professionally with clients regarding billing and service matters
- Respond promptly to client inquiries and concerns
- Coordinate with internal divisions to ensure smooth client servicing
Initiative & Independence
- Identify and resolve operational or administrative issues proactively
- Work independently with minimal supervision
- Support inter-division requests and tasks
Critical Thinking & Process Improvement
- Analyze business data to identify inconsistencies
- Suggest workflow enhancements to improve efficiency
- Handle sensitive client and financial information with sound judgment
Qualifications:
- Bachelor's degree in business administration or related field
- Proven experience with QuickBooks
- Strong administrative and clerical background
- Excellent written and verbal communication skills
- High attention to detail and organizational skills
- Ability to work independently and take initiative
- Strong analytical and problem-solving abilities
- Integrity and discretion in handling confidential information

- Demonstrated proficiency in QuickBooks and billing operations
- Effective and professional client communication
- Timely and accurate completion of administrative tasks
- Ability to work independently with minimal supervision
- Initiative in resolving issues and improving processes
