Executive Assistant (English & Mandarin-Speaking) – Duties & Responsibilities
Executive Support
  • Provide comprehensive administrative support to executives in daily operations.
  • Manage calendars, schedule meetings, and organize appointments.
  • Prepare reports, presentations, memos, and executive correspondence.
  • Handle confidential information with professionalism and discretion.
Bilingual Communication
  • Translate documents, emails, and communication between English and Mandarin.
  • Serve as an interpreter during meetings, phone calls, and business discussions.
  • Communicate with Mandarin-speaking partners, suppliers, and clients.
  • Ensure accurate and clear bilingual communication on behalf of the executive.
Meeting & Travel Coordination
  • Arrange travel itineraries, bookings, transportation, and visa requirements.
  • Organize meeting agendas, take minutes, and track follow-up action items.
  • Coordinate logistics for business events, visits, and conferences.
Administrative & Office Management
  • Maintain organized filing systems (physical and digital).
  • Process reimbursements, expense reports, and budget-related documents.
  • Monitor office supplies and coordinate procurement when needed.
Stakeholder & Internal Coordination
  • Act as a liaison between the executive and internal/external stakeholders.
  • Screen and prioritize emails, calls, and incoming requests.
  • Ensure timely communication and smooth information flow across departments.
Project & Task Monitoring
  • Assist in tracking project timelines, deliverables, and deadlines.
  • Conduct basic research and provide summarized data for decision-making.
  • Support special assignments or tasks delegated by the executive.

Qualifications
  • Education: Bachelor's degree in Business Administration, Management, Communications, or related field.
  • Language Skills: Fluent in English and Mandarin (speaking, reading, and writing).
  • Experience: Minimum 2–5 years as an executive assistant, administrative assistant, or similar role, preferably supporting senior executives in multinational companies.
  • Technical Skills: Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and digital communication tools; experience with calendar management and document preparation.
  • Interpersonal Skills: Excellent communication, interpersonal, and organizational skills.
  • Professionalism: Ability to handle confidential information with discretion and maintain a high level of professionalism.
  • Time Management: Strong multitasking and prioritization skills to handle competing demands effectively.
  • Problem-Solving: Proactive, resourceful, and able to work independently with minimal supervision.
  • Cultural Awareness: Familiarity with business etiquette and practices in both English- and Mandarin-speaking environments.
