Bookkeeper Virtual Assistant

We're looking for a highly organized and detail-oriented Bookkeeper Virtual Assistant to help keep the financial operations of two thriving businesses running smoothly. This role is ideal for someone who's confident with Xero, comfortable managing direct debits, and proactive in handling customer communication with care and professionalism.
You'll be responsible for ensuring our financial records are accurate, direct debits run seamlessly, and parents are kept informed about their accounts. If you enjoy structure, numbers, and clear processes — and you take pride in seeing everything balance perfectly — this is the role for you.
What You'll Do
Financial Administration
- Maintain accurate financial records in Xero for both businesses
- Run fortnightly direct debit batches, including checks, processing, and reconciliations
- Handle failed payments quickly — reprocess, follow up, and communicate with parents as needed
- Complete daily bank reconciliations and resolve discrepancies promptly
- Prepare and send invoices and credits, and track payments and expenses
- Work closely with our accountant and senior bookkeeper when needed
System Management
- Learn and manage iClassPro (billing, enrolments, and family accounts)
- Keep payment and contact details updated
- Ensure data consistency between Xero and iClassPro
Client Communication
- Manage the finance inbox, responding to parent emails clearly and professionally
- Send reminders and follow-ups for overdue or failed payments
- Record all communication attempts and updates
Reporting & Coordination
- Deliver weekly Outstanding Accounts Reports and fortnightly Direct Debit Summaries
- Provide insights and suggestions to reduce failed payments and improve cashflow
- Collaborate with the Owner and bookkeeper to address any financial issues promptly
- Maintain confidentiality and compliance with data standards
Who You Are
- Skilled in Xero (at least 2 years of experience)
- Experienced in direct debit processing and reconciliations
- A quick learner — especially when it comes to new systems like iClassPro
- Excellent at written communication and customer correspondence
- Organized, self-motivated, and reliable when working remotely
- Strong attention to detail and accuracy in everything you do
- Experienced supporting multiple entities is a plus
