Scope of Work / Job Description
The ideal candidate will be a critical link between field operations, estimating, and office management, ensuring smooth, efficient workflow:
Email Management & Triage: Take total control of our main email inbox, ensuring prompt responses to all inquiries or effectively triaging and informing the right office staff member for specialized follow-up.
Work Order Management: Efficiently manage and process incoming work orders, assigning them to the appropriate field technicians based on geography and trade specialization.
Technician Support: Act as the primary point of contact for field technicians, handling scheduling adjustments, clarifying work order details, and ensuring adherence to Service Level Agreements (SLAs).
Customer Communication: Manage client correspondence (phone/email) regarding scheduling, status updates, and service inquiries.
Administrative Support: Assist with general administrative tasks, record-keeping, and ensuring all project documentation is complete.
Skills Requirements
CRM System Proficiency: Must have strong working knowledge of the ServiceTitan CRM system for managing work orders, clients, and technician schedules.
Trade Knowledge: Familiarity and comfort with commercial service trades, particularly HVAC and Plumbing, to effectively communicate with technicians and clients about job details.
Communication Skills: Excellent verbal and written communication skills for professional interaction with clients, vendors, and internal teams, with a focus on timely response.
Estimating & Invoicing: Experience assisting with estimating processes and tracking job costs to ensure profitability.
Technician Management: Proven ability to monitor technician progress, track time-to-arrive (ETA) and time-to-complete (TTC) metrics, and keep on top of field staff efficiency.
SEO/Marketing (Plus): Any knowledge or experience with Search Engine Optimization (SEO) for maintaining or improving our organic web presence would be a significant advantage.
