FUNCTION OF THE DEPARTMENT & MAIN PURPOSE OF THE JOB
- Provide necessary operations assistance to the Operations Manager - Property and/or Building Manager and to the tenants.
- Monitor concerns, complaints and requests from tenants and assist in liaising with tenants to ensure their continued satisfaction.
- Facilitates the collection of accounts receivable and accounts payable and creates a weekly report.
- Ensure and maintain proper stock levels of office and common area supplies of assigned property.
- Provide assistance in attending to all building operations and maintenance, including the use of public thoroughfares, common areas, access control, cleaning, building maintenance, lift usage, and parking arrangements.
DUTIES & RESPONSIBILITIES
- Provide assistance in the implementation of building rules and regulations, safety and uninterrupted service to the building and its tenants are complied with at its best.
- Review the regular timekeeping of the subcontracted manpower services prior endorsement to the approver. Regularly conduct inventory of office and common area supplies in the Property Management Office.
- Canvass of materials needed by the Property Management Office for building expenses.
- Responsible for the releasing of statement of accounts, outstanding balance reminders and notices from the Finance & Accounting Department to the tenants of the property. Review of account payables from the suppliers and contractors prior endorsement.
- Responsible for the efficient and standard custody of data and documents and filing of administration files based on the company standards.
- Conduct site walkthrough inspection and safety audit/inspection upon instruction of Operations Manager - Property and/or Building Manager to ensure that required standards of presentation, repairs and operation are being maintained and will ensure all sections of the overall property are visited on a daily basis.
- Ensures production of all emergency procedures at the property including over viewing, evacuation and fire drills and assists in the implementation of it.
- Arrange and assess repairs and maintenance as instructed by the Building Manager relating to building finishes and operational services and to convey the same to the Engineering Services Department.
- Check and prepare an operational fund disbursement summary to the Finance and Accounting Department.
- Regularly check the collection of pay parking and generation and submission of monthly parking summary sales to the Finance and Accounting Department.
- Ensure, as deemed necessary, tenancy fit-out plans and specifications are submitted to the appropriate consultancy team for vetting and follow through to approval.
- Regularly review, as deemed necessary, physical occupation by the tenants including the administering of building works conditions which are to be agreed prior to commencement.
- Regularly check tenant move-in updates and tenants occupancy including arrangement of Tenant Coordination Meeting and Occupational Safety and Health Committee Meeting.
- To develop and maintain an operative tenants communication program (Tenant Satisfaction Survey) and to liaise regularly with the tenants to ensure continued satisfaction.
- Assist in ensuring that all permits and licenses related to the operation of the building and its appurtenant equipment are secured and complied with on time.
- Provide assistance in checking the preventive maintenance program, operation schedules of building machinery are carried out by technicians in line with the energy and facilities efficiency program. Monitors activities and keeps records of preventive maintenance programs conducted by vendors responsible for the upkeep of elevators, generator sets, cooling system, and other mechanical, electrical and electronic equipment.
- Perform related duties and tasks as directed by the Building Manager.
MINIMUM QUALIFICATION
- At least one (1) to two (2) years relevant work experience in Property Management industry preferably in a High Rise Building or Commercial/Office Building
- Bachelor's Degree (BA/BS) in Engineering, Building Technology, Property Management, Real Estate, Office/Business Administration or related field
- Familiarity with Property Management Operations
- With good organizing skills, efficient and accurate in filing documents
- Good communication skills - good presentation skills and possesses average verbal and written communication skills; also an active listener
