
Admin & Bookkeeping Coordinator - QuickBooks Online & Events

This is a remote position.
Job Highlights:
- Contract type: Independent Contractor
- Schedule: 20 hours a week flexible during client business hours
Client Time-zone: Melbourne, Australia Eastern
We are seeking a detail-oriented and versatile professional to provide both bookkeeping and business support. The ideal candidate will have experience with QuickBooks Online (QBO), social media coordination, and general administrative assistance. Training can be provided where required.
Responsibilities
Bookkeeping
- Enter invoices and bills accurately into QuickBooks Online (QBO)
- Match bank feed transactions to invoices/bills
- Process Square transactions and receipts into QBO
- Create and prepare credit card split files for review
Business Support
- Manage email and social media queries
- Transfer event and booking data between platforms (First Table, Open Table, Eventbrite)
- Track and calculate weekly ticket sales, including administrative fee adjustments
- Maintain and update Brevo & Cellcast databases through Eventbrite exports/imports
- Review staff order sheets and place supplier orders
- Add and update events in AGFG and What's On Melbourne listings
- Prepare and schedule Brevo email campaigns
- Monitor and report on social media follower counts
- Research and identify potential new local business partners or opportunities
Content & Administrative Support
- Assist with formatting and preparing books for publication on Amazon KDP and Smashwords
- Support the preparation and editing of newsletters and marketing copy (Brevo)
- Proofread copy for grammar, clarity, and accuracy
- Provide additional administrative support as required, with training provided where needed
- Working knowledge of QuickBooks Online (QBO) preferred; training available
- Strong organizational skills with attention to detail
- Ability to manage multiple tasks and deadlines
- Proficiency in Microsoft Office or Google Workspace
- Familiarity with social media platforms and basic reporting
- Strong written and verbal communication skills
- Experience with Brevo (formerly Sendinblue) or other email marketing platforms
- Knowledge of event and booking platforms such as Open Table, Eventbrite, and AGFG
- Basic proofreading and copyediting skills
- Prior administrative support experience in a dynamic environment
