Human Resources Administrator

Purpose of the Position
- The purpose of this role is to administer workflows and processes in the Group Human Capital Management System (HCM), UKG, across core HR processes such as onboarding, offboarding, employee change of status, recruitment coordination, compliance, reporting, and other ad hoc requests as required.
- This role is responsible for accurately managing all HR processes in line with HR Service Level Agreement (SLA)
Roles and Responsibilities
- Initiate and submit job requisition processes.
- Facilitate the Appointment Approval process with consideration to delegations of approval.
- Initiate and send letters of offer and employment agreements for review by the Human Resources System Analyst.
- Administer and coordinate Onboarding Checklists.
- Administer and coordinate Induction checklists.
- Administer all change of status' forms and checklists including recommendation forms and position changes.
- Administer and coordinate Exit Checklists.
- Maintain the pre-boarding portal as directed by the Human Resources System Analyst.
- Maintain position and organisational structures as directed by the Human Resources System Analyst.
- Administer, coordinate and monitor probation reviews including reporting and close-out of outstanding probation reviews.
- Undertake credentials reporting and expiry monitoring, working proactively to ensure all credentials are up to date.
- Update existing and add new credentials as directed.
- Manage other forms, workflows and checklists as required and directed.
- Build and share reports as directed or required.
- Maintain security, role and other profiles as directed.
Quality Assurance
- Ensure accurate HR QA system and best practice compliance.
- Undertake system audits and document review in line with the QA system.
- Assist with updates of Position Descriptions in line with HR protocols and quality requirements.
Other Administration Support
- Creation of ad hoc employee letters.
- Draft salary review letters and Schedule A's.
- Monitor the HR inbox and responding to queries as necessary.
- Health & Wellbeing Coordination – including managing the wellbeing reimbursement process in DocuSign, Flexible Work Arrangement requests, and other health & wellbeing activity coordination as required.
- Book training as requested.
- Provide other generalised administrative and human resources support to the HR team where required.

Mandatory Knowledge & Experience
- 2 years minimum administration experience, preferably in HR.
- Strong English skills (verbal and written communication).
- Proficiency in Microsoft Office including Word, Outlook and Excel.
- Ability to communicate effectively and assertively.
- Excellent interpersonal skills.
- Ability to manage competing deadlines.
