The Opportunity

The Migration & Documentation Specialist is responsible for managing and coordinating all documentation, visa processing, and deployment requirements for international candidates. This role ensures that all submissions meet regulatory standards and client expectations, supporting the smooth and timely transition of candidates from recruitment, training to deployment.

The specialist will work closely with migration agents and candidates to maintain compliance and efficiency across all stages of the visa and deployment process.

Key Responsibilities

Visa & Documentation Management

  • Facilitate end-to-end visa processing (e.g., Subclass 407, 482, and Student Visas), including document collection, review, and submission.
  • Ensure the accuracy, completeness, and compliance of all visa-related documents and forms.
  • Maintain organized and up-to-date documentation records for each candidate using tracking systems (e.g., HubSpot, Airtable, or shared drives).
  • Coordinate with candidates to ensure timely submission of requirements and monitor expiration dates of key documents.
  • Assist candidates in completing necessary forms such as health insurance applications, GTE statements, and other supporting documentation.
  • Support visa transitions for workers currently deployed overseas.

Deployment Coordination

  • Coordinate with clients, RTOs (Registered Training Organizations), and candidates regarding pre-departure and deployment requirements.
  • Support the processing of OEC (Overseas Employment Certificate), medical clearances, and other deployment-related documentation.
  • Track and monitor each candidate's deployment progress, identifying and resolving any issues that may cause delays.
  • Provide regular deployment updates and reports to the supervisor and relevant stakeholders.
  • Assist in visa lodgement procedures and ensure the completeness of visa processing requirements.
  • Ensure candidates' readiness for deployment, including document verification and final compliance checks.

Candidate & Stakeholder Communication

  • Communicate clearly with candidates regarding pending requirements, timelines, and visa-related updates.
  • Liaise with clients, migration partners, and internal teams on documentation and compliance matters.
  • Respond promptly and professionally to inquiries from all stakeholders.
  • Assist in organizing and facilitating information sessions or pre-departure orientations for candidates.

Compliance & Reporting

  • Ensure that all visa and deployment activities comply with Philippine and Australian (or relevant destination country) regulations.
  • Maintain strict confidentiality and uphold data privacy standards when handling personal and sensitive information.
  • Prepare and maintain regular reports, trackers, and summaries related to visa lodgement, documentation progress, and deployment status.

Technical Requirements

To ensure smooth and efficient work in-office settings, candidates must meet the following minimum technical requirements:

  • Laptop: Intel Core i5 or equivalent (or higher) with at least 8GB RAM.
  • Internet Connection (for remote work): Minimum 50 Mbps wired internet connection (LAN) for stable connectivity.
  • Backup Internet: Mobile data or secondary ISP for backup in case of connectivity issues.
  • Dual Monitors (Preferred): For enhanced productivity in managing multiple ad accounts and analytics.
  • Noise-Canceling Headset: A high-quality headset for virtual meetings and collaboration.
  • Webcam: A functional webcam for video meetings and presentations.
  • Work Environment: A quiet and professional workspace for remote days, while being able to collaborate in the office as required.
