E-Commerce Assistant Operations Manager

Job Summary:

The E-Commerce Assistant Operations Manager / Supervisor supports the end-to-end online operations of Southstar Drug across its digital sales channels including Southstar Drug's own website, Shopee, Lazada, and TikTok Shop. This role assists in ensuring operational efficiency, accurate and timely order fulfillment, coordination with internal teams and external partners, and the optimization of platform performance. The Assistant Operations Manager / Supervisor plays a critical role in daily execution, issue resolution, and supporting the implementation of initiatives that drive sales, customer satisfaction, and operational excellence.

Key Responsibilities:

1. Platform Operations Support

• Assist in daily operations across the website, Shopee, Lazada, and TikTok Shop, ensuring product listings, pricing, and promotions are updated accurately.
• Coordinate with merchandising, marketing, warehouse, and head office support teams for campaign execution, stock updates, and product launches.
• Help maintain content accuracy and address listing or platform-related issues.

2. Order Fulfillment & Logistics Coordination

• Support monitoring of order processing from placement to delivery.
• Coordinate with warehouse teams and logistics partners to address delays, errors, and fulfillment bottlenecks.
• Help process and track returns, cancellations, and refunds to ensure timely resolution.

3. Marketplace Performance Monitoring

• Regularly check marketplace KPIs such as Seller Ratings, Fulfillment SLA, and Cancellation Rate.
• Assist in preparing reports and action plans to maintain healthy operational scores.
• Help coordinate with platform account managers for issue escalations, and performance reviews.

4. Data Analysis & Reporting

• Assist in tracking sales, operational metrics, fulfillment performance, and cost trends across all platforms.
• Prepare weekly and monthly reports for management review.
• Support identifying operational gaps and generating recommendations for improvement.

5. Inventory & Supply Chain Support

• Monitor inventory levels across platforms and coordinate with merchandising and supply chain teams for replenishment.
• Assist in implementing stock allocation strategies for campaigns, peak periods, and fast-moving SKUs.
• Help maintain inventory accuracy between the platforms and backend systems.

6. Customer Experience Coordination

• Work closely with the Customer Service team to monitor and follow up on customer complaints, inquiries, and escalations.
• Assist in identifying recurring customer issues and recommending solutions to improve satisfaction.

7. Process & Systems Improvement

• Support the improvement and documentation of operational workflows and SOPs.
• Assist in coordinating with IT and platform developers to resolve backend system issues related to order management, inventory sync, and fulfillment tools.

8. Team Coordination

• Provide guidance and support to e-commerce coordinators, order processors, and fulfillment staff as needed.
• Assist the Operations Manager in monitoring team KPIs and ensuring smooth collaboration across functions.

Qualifications & Skills:

Education & Experience

• Bachelor's degree in Business, Operations, Supply Chain, or related field.
• 1–3 years of experience in e-commerce operations, marketplace management, or supply chain/logistics.
• Working knowledge of Shopee, Lazada, TikTok Shop, or an e-commerce website backend (e.g., Shopify, WooCommerce) is preferred.
• Experience in retail, FMCG, or pharmaceuticals is a plus.

Skills & Competencies

• Understanding of e-commerce operations, order workflows, and marketplace systems.
• Proficiency in spreadsheet tools and familiar with OMS/inventory systems.
• Strong analytical skills and attention to detail.
• Good communication and coordination skills across internal and external teams.
• Highly organized, proactive, and capable of handling multiple tasks in a fast-paced environment.
• Problem-solving mindset with a strong willingness to learn and grow.

Job Type: Full-time

Pay: Php30, Php40,000.00 per month
