
Purchasing Associate

Key Responsibilities:
- Order Processing & Product Sourcing: Collaborate with internal departments and external suppliers to manage purchase orders and identify cost-efficient sources for goods, including production materials, office supplies, and IT equipment (e.g., laptops, printers, mouse, etc.).
- Sales Invoice Encoding: Accurately and promptly encode sales invoice data into the system to ensure reliable and updated records.
- Disbursement Processing: Prepare and process disbursement documents, such as Requests for Payment (RFP), in compliance with company financial procedures.
- Debit/Credit Note Management: Assist in the preparation and management of debit and credit notes to facilitate smooth supplier transactions and account reconciliation.
- Supplier Price Comparison: Perform price comparisons across suppliers offering the same SKUs to ensure competitive pricing and product quality.
- Vendor Relationship Management: Maintain strong relationships with suppliers, negotiate terms, and resolve any procurement-related issues.
- Inventory Coordination: Work closely with inventory and logistics teams to monitor stock levels and ensure timely procurement of necessary items.
- Market Research: Stay informed about market trends, supplier offerings, and pricing fluctuations to support strategic purchasing decisions.
- Documentation & Compliance: Ensure all procurement records are complete, accurate, and in compliance with company policies and legal requirements.
- Cost & Quality Assurance: Monitor purchasing expenses to meet budget goals while ensuring all goods procured meet quality standards.
Qualifications:
- Fresh graduates are welcome to apply
- 1–3 years of experience in a purchasing or procurement role, preferably in manufacturing, transport, or logistics
- Bachelor's degree in Business Administration major in Management, Supply Chain, Operations Management, or Industrial Engineering
- Strong analytical and problem-solving skills with keen attention to detail
- Excellent interpersonal and communication skills for effective coordination with suppliers and internal teams
- Proficient in procurement software and Microsoft Office applications
- Solid understanding of procurement, purchasing, and inventory best practices
- Able to work independently or collaboratively in a team environment
