The duties and responsibilities of Admin Assistant may include, but are not limited to the following:
- Responsible for making sure that all received invoices for payment are processed accurately and paid on time to prevent any late payment penalty.
- Receives and reviews the following billing statements and prepares request for payment on time.
- Processes other recurring admin and facilities payables.

- Maintains systematic filing of all accounting documents related to billings.
- Verifies and investigates discrepancies, if any, by reconciling vendor accounts and monthly vendor statements.
- Monitors all expenses and prepares monthly and annual reports, conducts expense analysis and recommends possible action to reduce payables.
- Establish maintenance schedules to guarantee that assets are adequately maintained, adhering to safety and operational requirements.
- Perform risk assessments and provide recommendations for programs, guidelines, and procedures aimed at minimizing unplanned downtime risks and enhancing the operational efficiency of all office equipment.
- Coordinates with third-party vendors to guarantee the prompt resolution of maintenance and repair requests for office equipment.
- Maintains and regularly updates the status of online Job Order Requests (JOR).
- Responsible for overseeing and recording daily transportation schedules and trip tickets.
- Ensure the timely renewal of vehicle registrations and all other relevant documents for company vehicles.
- Manage and monitor all requested and scheduled transportation to ensure accurate billing to the respective department.
- Manages and oversees expenses related to communication services (e.g., mobile phones, internet broadband).
- Supervises the daily performance of all company drivers.
Qualifications:
- Candidate must possess a Bachelor's degree in Business or any related field.
