I. Maintenance & Operations Support:

  • Conduct daily walkthroughs and inspections of the facility, including office areas, common spaces, and grounds, to identify maintenance and safety issues.
  • Develop, implement, and manage comprehensive preventive maintenance (PM) programs for all facility systems and equipment
  • Conduct regular facility inspections and safety audits to proactively identify hazards, address deficiencies, and prepare compliance documentation.
  • Ensure all facilities, systems, and maintenance procedures adhere to local or international regulations, including building codes, OSHA, environmental (EPA), and fire/life safety standards.
  • Develop and maintain emergency response plans and serve as a key member of the on-call team for critical facility incidents.
  • Serve as the technical expert for diagnosing and resolving complex infrastructure and equipment failures to minimize downtime and business interruption.
  • Monitor and optimize the performance of Building Management Systems (BMS), utility systems, and specialized equipment to ensure operations remain within strict parameters.
  • Prepare project cost estimates, manage capital and operating expense budgets, and ensure projects are completed on time and within financial targets.
  • Review and approve architectural and engineering plans, specifications, and contractor submittals for compliance with internal standards, best practices, and project objectives.
  • Lead or support engineering projects for facility upgrades, renovations, new construction, and equipment installations from concept through commissioning and validation.
  • Coordinate, oversee, and manage external contractors, consultants, and vendors, ensuring work quality and safety compliance.
  • Provide technical direction, guidance, and training to facility maintenance staff and technicians.
  • Act as the liaison between the facility and internal stakeholders (e.g., operations, production, R&D) to address facility service requests and project needs.

II. Vendor and Contract Management:

  • Liaise with and manage a variety of external vendors and contractors (e.g., janitorial, landscaping, repair services, security) to ensure quality service delivery and adherence to scope of work.
  • Assist the Manager with gathering quotes, preparing Purchase Orders (POs), and processing invoices for facilities-related goods and services.
  • Maintain accurate records of vendor contracts, service agreements, and insurance documentation.

III. Safety and Compliance:

  • Support the implementation of safety programs and procedures, including fire drills, first aid supplies, and ergonomic assessments.
  • Ensure all facility operations comply with relevant health, safety, and environmental regulations (e.g., OSHA, local fire codes).

IV. Administrative & Workplace Services:

  • Coordinate internal office moves and space reconfigurations, including desk setups, delivery logistics, and ensuring proper furniture inventory.
  • Manage and monitor company access control and keys.
  • Assist with the logistical setup for company meetings, events, and conferences.
  • Serve as the primary contact for all employee and staff maintenance requests, processing and tracking all incoming work orders (via ticket system) from initiation to completion.
