Job Description:
We are looking for a detail-oriented and proactive HR Admin & Finance Assistant to support daily office operations, finance processes, and employee coordination. This role involves handling invoices and billing, monitoring company assets, coordinating with suppliers and banks, assisting with reimbursements, and supporting employee engagement activities.
Key Responsibilities:
- Handle collection and submission of invoices, documents, IDs, ATM cards, checks, and government requirements.
- Process Openbravo PTU and ensure timely updating of company financial records.
- Download and upload billings and credit card receipts into the BPM system.
- Collate and validate receipts for reimbursements, petty cash, and company credit cards.
- Prepare and track petty cash replenishments and reimbursement requests (Google Docs & BPM).
- Maintain and update company trackers (e.g., asset list, subscriptions, invoice trackers).
- Communicate with suppliers for office supplies, laptops, monitors, and other asset purchases.
- Assist in bank-related errands such as telegraphic transfers, check deposits, and ID/document requirements.
- Support HR/Admin in employee engagement activities such as team events, games, and monthly lunches (budgeting, reservations, coordination).
- Coordinate travel arrangements including flight and accommodation bookings for employees.
- Ensure accurate and timely filing of reports, government submissions, and other compliance requirements.
- Perform other administrative and finance-related tasks as may be assigned from time to time.
Qualifications:
- Fresh Graduates are welcome to apply
- Graduate of Business Administration, Accounting, Finance, or related course preferred.
- At least 1–2 years of experience in administration, finance support, or office coordination.
- Strong organizational and multitasking skills with keen attention to detail.
- Proficient in Google Workspace (Docs, Sheets, Drive) and familiarity with ERP/BPM systems is an advantage.
- Ability to communicate effectively with suppliers, banks, and internal teams.
- Proactive, reliable, and able to handle confidential information with integrity.
Work Setup & Schedule:
- Hybrid
- Location: Preferred applicants based near Makati City
- Monday to Friday, regular working hours
