Job Summary

The Fixed Asset Associate is responsible for maintaining accurate records of company-owned fixed assets throughout their lifecycle—from acquisition to disposal. This role ensures proper tagging, tracking, auditing, and reconciliation of fixed assets across departments and locations. The incumbent plays a key role in ensuring compliance with internal policies and accounting standards, primarily using Microsoft D365 and Acumatica accounting systems.

Responsibilities

  • Maintains Fixed Asset Records:
  • Accurately record asset acquisitions, transfers, disposals, and adjustments in the fixed asset register.
  • Ensure all fixed assets are tagged with appropriate labels and registered in the system.

  • Update asset location, custodian, and condition details as required.

  • Conducts Asset Audits:

  • Perform periodic physical verification of fixed assets across multiple sites.
  • Reconcile physical counts with system records and investigate any discrepancies.

  • Ensure compliance with capitalization thresholds and depreciation policies.

  • Leads Fixed Asset Reconciliation:

  • Coordinate with Finance and other departments to reconcile fixed asset balances with the General Ledger.
  • Analyze audit findings and document any irregularities or mismatches.

  • Support month-end and year-end closing activities related to fixed assets.

  • Supports Asset Lifecycle Management:

  • Track asset requests, deployments, returns, repairs, and retirements.
  • Assist in the planning and execution of asset disposal or redeployment.

  • Monitor asset depreciation schedules and ensure timely updates.

  • Coordinates Across Departments:

  • Work closely with warehouse, accounting, IT, and operations teams to ensure accurate asset movement tracking.

  • Assist in interdepartmental asset transfer documentation and approval processes.

  • Prepares Reports and Documentation:

  • Generate periodic reports on fixed asset status, additions, disposals, transfers, and depreciation.
  • Maintain proper documentation and audit trail for asset transactions.

  • Provide data for internal audits, compliance checks, or external audits when needed.

  • Participates in Process Improvement:

  • Identify opportunities to strengthen asset tracking and control procedures.
  • Propose enhancements to fixed asset workflows, forms, and systems.
  • Contribute to SOP development and training materials related to fixed assets.

Qualifications & Competencies

(Bachelor's degree in Accounting, Finance, or related field preferred.

Prior experience in fixed asset accounting, audit, or asset management.

Proficiency in Microsoft D365 and Acumatica accounting systems.

Familiarity with fixed asset accounting standards and lifecycle tracking.

Excellent attention to detail and accuracy.

Strong organizational and documentation skills.

Good communication and interpersonal abilities.

Ability to use asset tagging tools, scanners, and mobile data entry systems.
