Job Description

As a Referral Coordinator, you will manage prior authorization and referral processes to ensure seamless patient care. You'll collaborate with providers, insurance partners, and internal teams to verify details, secure approvals, and maintain accurate records-all while supporting patients with empathy and precision.

The Qualifications We Seek

  • At least 1 year of relevant experience in a healthcare or referral coordination role

Your Daily Tasks

  • Review and evaluate prior authorization requests for completeness and accuracy
  • Review and verify patient insurance information
  • Communicate with healthcare providers and internal staff to gather necessary documentation for prior authorizations
  • Liaise with insurance companies to submit and track authorization requests
  • Monitor and follow up on pending authorizations, ensuring timely resolution
  • Stay informed about changes in insurance policies and authorization requirements
  • Maintain accurate and detailed records of prior authorization requests, approvals, and denials
  • Review and resolve denied authorization requests
  • Provide excellent customer service to internal and external callers
  • Conduct confirmation calls for the next clinic day
  • Schedule injections and follow-ups
  • Search for and upload missing imaging to the Ambra Imaging Portal
  • Send referrals for coding and check for authorizations for scheduled patients
  • Utilize the Electronic Medical Records (EMR) system to enter patient data
  • Create spreadsheets for all sent-out procedure requests per doctor
  • Submit or request authorization for any treatment recommended to the patient's attorney
  • Work on jellybeans (EMH Messages and Orders)
  • Check telephone encounters routinely for medication or urgent issues
  • Manage medical liens between patients and attorneys
  • Check voicemails/emails continuously and respond promptly
  • Notify the Personal Injury Administrator once procedures are approved for scheduling
  • Communicate with the Philippines and US teams to address queries and updates
  • Contact pharmacies for post-op patients
  • Drop no-shows and create telephone encounters to bill for them
  • Electronically fax completed visit notes, referrals, and authorization requests to appropriate parties
  • Track procedure notes for all outside facility procedures
  • Take medical history from patients
