The Admin and HR Assistant reports to the Office Manager. He/she is responsible for developing and implementing the project/office specific administrative and personnel support processes. He/she is also responsible for the orderly and complete work activity of daily office operations, record maintenance, and human resources coordination. Specific duties include the overall implementation of the approved Office Administration and HR Procedures and:

Job Responsibilities and Requirements (Admin and HR, 1-4 Years Experience)

a) Office Management: Oversee the daily function of the office environment, ensuring all communal areas are orderly and maintaining the inventory and procurement of necessary office supplies and equipment.

b) General Administration: Handle all incoming and outgoing mail, manage correspondence, and maintain the central filing system (both physical and digital) for efficient document retrieval.

c) Travel and Logistics: Coordinate and book travel arrangements for staff, including flights, accommodation, and transportation, while processing and verifying related expense reports in line with company policy.

d) Onboarding Support: Assist the HR Manager with the new hire onboarding process, including preparing employment kits, conducting initial orientation, and ensuring all new joiners complete mandatory paperwork.

e) Personnel File Maintenance: Accurately update and manage confidential employee records and personnel files, ensuring data integrity and strict compliance with privacy regulations.

f) Attendance and Leave Tracking: Administer the company's time and attendance system, monitor employee clock-ins/outs, and manage the leave application process (annual, sick, etc.), providing regular reports to management.

g) Meeting Coordination: Schedule and organize internal meetings, conferences, and staff events, including booking venues, arranging catering, and distributing relevant materials.

h) Recruitment Coordination: Posting job advertisements, scheduling interviews, and communicating with candidates to manage the recruitment pipeline efficiently.
