The Fleet & General Services Supervisor oversees fleet operations, asset management activities, and general administrative services. The role ensures efficient vehicle utilization, cost-effective procurement, asset control, and timely support services. The supervisor coordinates with drivers, suppliers, internal departments, and service providers to maintain smooth company operations through proper fleet scheduling, maintenance, procurement, facilities support, and asset tracking.

Fleet Management
  • Supervise fleet operations including dispatching, scheduling, routing, and monitoring of vehicles.
  • Ensure regular preventive maintenance and timely repair of all company vehicles.
  • Monitor fuel consumption, mileage, and driver compliance with safety standards.
  • Oversee vehicle registration, insurance, and compliance with government regulations.
Asset Management
  • Maintain accurate asset inventory records, tagging, tracking, and updating asset status.
  • Conduct periodic audits and coordinate repair, disposal, or replacement of assets.
  • Ensure proper documentation for asset acquisition, transfer, and disposal.
Purchasing & Procurement
  • Process purchase requests, canvass suppliers, and secure competitive quotes.
  • Coordinate with vendors for delivery schedules, quality checks, and order completeness.
  • Maintain supplier database and evaluate vendor performance.
General Administrative Services
  • Oversee office services including utilities, maintenance, housekeeping, and supplies.
  • Manage service providers and contractors for facilities-related requirements.
  • Ensure compliance with company policies and safety standards in all support services.
Supervisory Functions
  • Lead and monitor drivers, utility staff, and service personnel.
  • Conduct performance evaluations and provide coaching and training as needed.

1. Fleet
  • % of on-time preventive maintenance completion (target: 95%+).
  • Reduction in fuel consumption per vehicle vs. baseline.
  • Vehicle downtime rate (target: minimal/within standard).
  • Compliance with vehicle registration and insurance deadlines (100%).
2. Asset Management
  • Asset inventory accuracy rate (target: 98%+).
  • Timeliness of asset tagging and documentation (within 3–5 days from acquisition).
  • % of completed asset audits vs. schedule.
3. Procurement
  • Average purchase processing lead time.
  • Cost savings from supplier negotiations.
  • Supplier on-time delivery rate.
4. General Services
  • Resolution time for facilities/service requests.
  • Compliance with housekeeping and facility maintenance standards.
  • Utility cost monitoring and variance control.
