Primary Objectives:

The Maintenance Coordinator is a vital role in supporting the Engineering & Maintenance Department by managing job requests, coordinating schedules, maintaining records, monitoring spare parts inventory, and preparing reports. This role acts as the central link between technicians, management, and external service providers, ensuring smooth maintenance operations and minimal downtime for facilities and equipment.

Job Description:

  • Receive, log, and monitor all incoming and outgoing job requests; assign and track progress until completion.
  • Coordinate maintenance schedules, preventive maintenance (PM) plans, and urgent repair requests with technicians and service providers.
  • Serve as a communication point between Store operations and maintenance teams to prioritize tasks effectively.
  • Maintain and update all engineering and maintenance records, including service logs, PM checklists, work orders, and breakdown reports.
  • Prepare weekly and monthly reports on job requests, equipment downtime, and maintenance KPIs.
  • Manage revision control for equipment manuals, drawings, and SOPs to ensure up-to-date references for technicians.
  • Ensure documentation complies with company policies, safety regulations, and industry standards.
  • Support regulatory audits by providing accurate and complete documentation. Maintains confidentiality and data integrity at all times.
  • Provide updated equipment manuals, electrical/control diagrams, and preventive maintenance schedules to technicians.
  • Log and monitor maintenance reports, breakdown histories, and spare parts usage.
  • Coordinate with vendors and contractors for submission and control of as-built drawings, test certificates, and service reports.
  • Recommend enhancements to document control processes for efficiency and accuracy.
  • Monitor spare parts and consumables to maintain proper stock levels for critical items. Record all incoming/outgoing spare parts and prepare requisitions for replenishment.
  • Coordinate with suppliers and procurement to ensure timely availability of spare parts.
  • Coordinate with external service providers for specialized repairs, inspections, and testing.
  • Track contractor work permits, compliance documents, and service reports. Ensure timely submission and filing of as-built drawings, calibration certificates, and test results
  • Assist in the digitalization of records for easier access and tracking.
  • Ensure maintenance activities comply with safety protocols, electrical and mechanical standards, and environmental regulations.
  • Assist in audits by providing accurate and complete documentation.

Qualifications:

  • Education: Bachelor's degree or diploma in Engineering, Industrial Technology, or related field (or equivalent experience).
  • Experience: At least 3 years of experience in maintenance coordination, document control, or facilities support.
  • Strong knowledge of job tracking systems, inventory management, and maintenance scheduling.
  • Proficiency in MS Office (Excel, Word, PowerPoint); experience with CMMS/ERP systems is an advantage.
  • High organizational skills with attention to detail.
  • Strong communication and interpersonal skills to coordinate with technicians, management, and vendors.
