Job Description

The Legal Operations Officer is responsible for providing legal, corporate secretarial/housekeeping, research, and administrative support to in-house lawyers. This role plays a key part in ensuring the efficient day-to-day operations of the legal team by combining legal knowledge with strong organizational and coordination skills.

Key Responsibilities

  • Support the Corporate Secretary in corporate housekeeping functions, including drafting basic meeting minutes, preparing board materials, and ensuring all regulatory and reportorial requirements are tracked and completed accurately and on time, with minimal supervision.
  • Act as Assistant Corporate Secretary, as may be formally deputized by the Corporate Secretary.
  • Serve as lead counsel in the setup of the Legal Database (e.g., Regulatory, Litigation, Opinion, and Contract databases), as identified by the Associate General Counsel for Legal Operations, and assist in maintaining and cascading these databases to relevant business units.
  • Coordinate the submission and approval process of policies and operating guidelines for relevant entities, including liaising with sponsors and Committee members to ensure timely completion.
  • Support business unit functions of the Legal Operations Team by reviewing and preparing simple contracts and legal documents, including marketing materials, affidavits, demand letters, SPAs, and other basic agreements.
  • Assist lead counsel for litigation by monitoring cases, drafting legal documents, attending mediation and simple court proceedings, and coordinating with external counsel.
  • Monitor and compile new regulations and jurisprudence, and ensure compliance with regulatory requirements with minimal supervision.
  • Perform other duties as may be assigned by the Associate General Counsel for Legal Operations and/or the General Counsel.

Qualifications

  • Recent Bar Examination passer (2023 onwards)
  • Graduate of Juris Doctor or LL.B.
  • Prior experience as an OJT or paralegal in a law firm, legal services company, or in-house legal department of a reputable organization
