Our role of the Coordinator, is your chance to deliver People Operations service for the applicable geographies, in line with the People & Culture Strategy.
As a key member in our People Operations function, you will play a crucial role in enhancing employee experiences, optimising HR processes, and driving our organisational values.
Key AccountabilitiesWhat you'll be doing:
- Professionally respond to all assigned incoming queries via telephone or email within the required SLA response time, escalating when necessary. Adhere to phone rota and shared mailbox assigning rota timetable.
- Take ownership and responsibility for completing all allocated 1st line HR processes on a day- to-day basis. This will include liaising with people of all levels within the organisation and proactively taking ownership of all queries through to successful conclusion or hand over to Specialist.
- Complete tasks within agreed timescales as outlined in process documents (SOP, guides, trackers or other instructions from line manager).
- Proactively assist with all requests for information including directing customers to relevant sources (such as SharePoint, other internal departments or benefits providers).
- Utilise all pre-set templates, letters, mail merges and processes to carry out established tasks and respond to incoming queries ensuring all correspondence is brand aligned.
- Maintain accurate and up-to-date documentation of HR processes and policies as directed by People Operations Specialists, People Operations Team Leads and/or People Operations Managers, including SharePoint pages and version control documentation.
- Work with the Specialist/Regional POCs/Manager to ensure updated HR process documents are suitable for any internal or external audit in the company.
- Use the Workday system to run requested reports and generate required data when accessible as per process instructions.
- Building and maintaining strong working relationships between all parties including recruiters, hiring managers, vendors and other account stakeholders.
- Work effectively and collaboratively with other team members to learn from their experiences and knowledge. Support on team-wide projects to develop technical and professional skills.
- Drive continuous improvement of the HR service and processes
- On-boarding - Administer on-boarding process for AMS Permanent and Contingent hires (including but not limited to Background check screening, collecting and reviewing candidate's documents, updating the system and relevant trackers, preparing the offer letters, resolving queries from candidates, liaising with Hiring Managers and suppliers via phone and e-mail) as defined in the People Operations manuals.
You'll need to demonstrate:
- Strong English business communication skills, written and oral, plus any specific languages as required.
- Working knowledge of Microsoft packages; Outlook, Word, Excel on a basic level at a minimum
- Attention to detail, excellent communication, organisational, problem solving and multitasking skills
