Position: HR Specialist - Credentialing Lead
Clients: Primarily US-based, in healthcare and transportation services
Work Setup: On-site, Davao Finance Center, SP Dacudao Loop, Davao City
Schedule:
- Full-Time: 12:00 AM – 9:00 AM, Tuesday to Saturday (PHT)
Note: Hours may occasionally shift to align with client needs across different U.S. time zones. Advance notice will be provided.
Position Summary
The HR Specialist - Credentialing Lead is responsible for overseeing and managing all employee credentialing processes. This role ensures strict compliance with US federal, state, and broker/payer regulatory requirements. The Lead serves as the primary liaison between teams, driving a collaborative approach to maintain a fully compliant and ready-to-deploy workforce.
Essential Duties and Responsibilities
Driver & Employee Credentialing Management
Lead the initial credentialing and re-credentialing lifecycle for all Drivers and relevant personnel (e.g. trainer, dispatcher, supervisor, manager) in accordance with CMS transportation provider requirements, as well as other contract requirements.
Conduct meticulous recordkeeping of required driver documents, including:
State-issued Driver's Licenses and Commercial Driver's Licenses (as applicable).
- Criminal Background Checks and Motor Vehicle Records (MVR).
- Mandatory Drug and Alcohol Screenings.
CPR/First Aid and specialized certifications
Coordinate and track mandatory initial and recurring training requirements for all staff, ensuring timely completion and proper documentation is filed in the personnel records
Monitor, track, and report on the expiration dates of all employee licenses, certifications, and background clearances, initiating proactive renewal processes to prevent lapses in compliance.
Interdepartmental Partnership & Collaboration
- Will partner with other areas in the facilitation and completion of credentialing requirements, specifically the HR services team, Risk & Compliance, and Operations.
- Liaise closely with the HR services team for the accurate collection of new hire documentation and the seamless transition of qualified candidates to active status.
- May work directly with Risk & Compliance to interpret new or changing employee regulations and ensure that all credentialing standards and verification processes meet legal and contractual obligations.
- Will collaborate with Operations to provide real-time status updates on driver readiness and to ensure the workforce is credentialed in alignment with current business demands.
System Management and Tracking
- Utilize and optimize existing tools, including Microsoft 365 applications (e.g., SharePoint, Excel, Teams), Rippling, contracted screening vendors, and internal workbooks, to manage and track the real-time status of all driver and employee credentialing requirements, renewals, and expiration dates.
- With oversight by HR management, discover and implement the use of existing tools to manage the company's credentialing program to drive efficiency and reliability by streamlining data entry and reporting across platforms, minimizing the reliance on manual tracking where possible.
Compliance, Audits, and Reporting
- Serve as the internal subject matter expert on NEMT driver credentialing requirements for various payers (e.g., Medicaid Managed Care Organizations, brokers) and governmental entities.
- Prepare and maintain "audit-ready" employee credentialing files, ensuring all driver documentation is accurate, complete, and compliant for external and internal reviews.
- Document and track any changes in driver status that impact credentialing eligibility (e.g., traffic violations, training lapses, disciplinary actions).
- Provide regular status reports on credentialing backlog, compliance rates, and upcoming expirations to HR management.
Qualifications (Knowledge, Skills, and Abilities)
- Education: Bachelor's degree in human resources, Business Administration, Healthcare Administration, or a related field, or equivalent experience.
- Experience: 2 years relevant work experience, comprised of one or more of the following: high-volume customer service, project management, credentialing, event coordination, compliance, or HR role, specifically managing large volumes of employee/driver files in a regulated industry (e.g., NEMT, healthcare, transportation, retail/restaurant).
- Technical Proficiency: Demonstrated expertise and advanced proficiency with Microsoft 365 applications (Excel, SharePoint) and/or modern HRIS/HRMS platforms like Rippling or a credentialing management system (CMS).
- Knowledge: Understanding of regulatory requirements related to NEMT/transportation, driver qualification files, background screening processes, and medical compliance (e.g., HIPAA).
Skills:
- Exceptional attention to detail and ability to meticulously manage complex documentation.
- Excellent verbal and written communication skills for effective cross-functional collaboration.
- Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
