Job Purpose

This position is responsible for the supervision and monitoring of retainer clinic management account, from personnel deployment, clinic management and compliance of medical related programs and activities, attendance monitoring and that contract agreed schedules are followed. The function includes supervision of retainer and reliever nurses and doctors performance and ensures all sites have relievers in the absence of retainer personnel.

Duties and Responsibilities

1. Workforce Management & Attendance Monitoring

  • Acts as primary contact person and responsible for monitoring clinic personnel attendance and tardiness issues.
  • Validates the DTR submitted by the nurses and physicians every payroll cut-off.
  • Ensures that payment of retainers and relievers are met within the agreed TAT by communicating with payroll personnel and retainers and relievers.
  • Ensures that all retainer clinics shall have corresponding pool of relievers and source the relievers in the absence of retainer personnel by overseeing the sourcing activities.
  • Acts as a reliever in case there will be no reliever source, for accounts within Metro Manila and shift that fits their office hours.
  • Responsible for tracking and monitoring medical personnel infractions and providing recommendations or appropriate actions if necessary.
  • Acts as a point person during nurses and doctors leave of absence and maintaining close coordination with HR team when in need of relievers.
  • Responsible for manpower care.

2. Process Improvement and Compliance

  • Monitor and ensure compliance with the clinic requirements and regulations set by DOLE, other government agency, and HR Team for clinic governance and audit.
  • Ensures the alignment and compliance of retainer nurses to the departmental goals and objectives.
  • Provide information, updates, and recommendation to Clinic Management Manager of any clinic operational concerns.
  • Conduct orientation, meeting SLA expectations and ensure compliance and completion of requirements (e.g., masterlist, MOA, etc.) for on-board process of new accounts.
  • Responsible for regular clinic visit and quarterly meeting with the account regarding clinic management status and recommendation.

3. Performance Management

  • Oversee periodic accomplishments of clinic staff and provide guidance on planning for client renewal.
  • Responsible for investigating any incident raised by the account and providing plan of actions.
  • Updates relievers on new trends and latest practices in healthcare.
  • Responsible for Nurses and Doctors periodic performance appraisal and monthly monitoring of Key Result Areas (KRA)/KPI.
  • Responsible for the creation, approval, and validation of issued LOA.

4. Reports

  • Responsible for clinic report analysis and providing recommendation to client to effectively manage health and well-being of client's employees together with the clinic retainer personnel
  • Responsible for the following reports:

  • Clinic Visit MoM/report

  • Weekly attendance report

  • Monthly attendance report

  • Reliever deployment and request report

  • Post activity report

5. Others

  • Performs other tasks under Corporate Healthcare Management that may be assigned from time to time
