PURPOSE OF THE FUNCTION
The General Affairs Assistant (Admin Assistant) under the supervision of the Finance and Admin Manager, manages all outside contractors in support of the Finance and Admin Department, including purchase and tender management, maintaining records and contracts, coordinating project activities and events, and providing scheduling support. Moreover, the Admin Assistant is responsible for coordinating all -process and provides support and guidance with the hosting of events.
KEY RESULT AREAS
- Coordination of Daily Facility activities - Coordinate and execute daily facility activities, within guidelines and requirements set by the Finance and Admin Manager. The General Affairs Assistant ensures the availability and functioning of facility services, in order to keep the organization (from a facility perspective) running smoothly.
- Procurement - Coordinate the buying of best quality equipment, goods and services (regarding facility) at the most competitive prices, to enable and support the operation of IASA, Inc.
- Occupational, health and safety - Coordinate the processes and policies regarding occupational, health and safety, in order to be compliant with (legal) environment, health and safety requirements and to provide a good working environment to employees and customers.
- General Support - Support the organization on various topics where the input/assistance/advice of General Affairs is needed, such as projects, organizing events, and facilitating communication.
- Continuous improvement - Signal and take action upon malfunctions in processes and procedures and propose improvements.
QUALIFICATIONS:
- Graduate of at least a 2‑year course
- Excellent knowledge in English (both written and spoken)
- Proficient in Microsoft 365 applications
- Experienced in working with computers and related technologies
- Background in event organization and coordination
- Preferably knowledgeable in compliance requirements with PEZA, DENR, EMB, and similar agencies.
