Job Summary

The Assistant Distribution Operations Manager will be a key player in digitizing and optimizing our end-to-end supply chain for frozen Tinapa (smoked fish) products. This role is for a proactive, digitally-driven individual who will not only oversee the physical cold chain and logistics but also relentlessly identify opportunities to learn and execute through automation and digital platforms to drive efficiency.

Reporting to the Distribution Operations Manager, you will be responsible for meticulously tracking lead indicators to ensure we achieve our outcome KPIs, from maintaining cold chain integrity to ensuring on-time, accurate deliveries. While a background in digital platform operations is a plus, a strong inclination to use digital means for all operations is an absolute must.

Key Responsibilities

Digital Logistics & Automation:

  • Learn and leverage digital platforms to plan, track, and monitor the transport of frozen Tinapa.
  • Actively seek opportunities to automate manual processes in cold chain logistics, from scheduling to dispatch.
  • Analyze data from digital systems to optimize routes, reduce costs, and improve delivery predictability.
  • Coordinate with 3PL partners and delivery teams through integrated digital tools to ensure seamless communication and execution.

Digitized Warehouse & Inventory Management:

  • Utilize and recommend digital inventory tools to supervise and maintain real-time accuracy of frozen Tinapa in cold storage.
  • Execute regular digital inventory audits and system reconciliations.
  • Drive the adoption of new technologies to ensure FIFO protocols are followed flawlessly and product spoilage is minimized.

Data-Driven Compliance & Documentation:

  • Maintain and manage all regulatory documentation (BFAR, FDA, LGU) digitally, ensuring easy access and audit readiness.
  • Use digital tools to automatically log and report temperature data, delivery receipts, and quality checks to ensure 100% cold chain compliance.

Operational Excellence & Continuous Improvement:

  • Assist in setting up a system to meticulously track lead indicators that drive key performance outcomes.
  • Analyze data to proactively identify and resolve delivery and logistics issues, ensuring minimal disruption.
  • Support the training of delivery personnel on new digital platforms and automated processes.

KPIs & Performance Outcomes:

  • On-Time Delivery Rate:
    95% (adjusted for weather/road conditions)
  • Cold Chain Compliance Rate:
    100% (verified by temperature logs)
  • Product Return Rate:
    ≤ 2% (due to spoilage/mishandling)
  • Inventory Accuracy:
    ≥ 98% during spot audits
  • Order Fulfillment Accuracy:
    ≥ 99% (complete and correct)
  • Distribution Cost per Kilo Shipped:
    Within target per region
  • Product Waste Due to Spoilage:
    ≤ 0.5% of inventory
  • Safety Incident Rate:
    0 lost-time injuries per quarter


Qualifications

  • Bachelor's degree in Logistics, Supply Chain Management, Business, or a related field.
  • At least 2 years of experience in food distribution, preferably frozen or perishable goods in the Philippines.
  • A strong desire to learn and execute through automated processes and digital platforms is essential.
  • Organized, meticulous, and with keen attention to detail.
  • Proficient in MS Excel and comfortable with learning new inventory and logistics software.
  • Knowledge of Philippine logistics regulations (e.g., FDA, BFAR) is a plus.
  • Proficient in Filipino; local dialect (e.g., Bisaya, Ilocano) is a plus.
  • Driver's license is preferred.
