JOB DESCRIPTION:

The Logistics Liaison Coordinator is responsible for supporting the efficient coordination of logistics operations, ensuring seamless communication between all parties involved in import and export activities. This role focuses on assisting the Logistics Liaison Deputy and Officer in managing shipments, ensuring compliance with customs regulations, and maintaining smooth operations. The Logistics Liaison Coordinator plays a key role in documenting logistics transactions, addressing shipment issues, and facilitating the resolution of any customs-related challenges. The position aims to optimize logistics processes, minimize delays, and contribute to the overall success of the integrated logistics function.

JOB RESPONSIBILITIES:

  • Handle pre-shipment documentation, including obtaining regulatory permits, Tax Exemption Indorsements (TEI), Import/Export Permits (IP/EP), and Bureau of Customs Certificates of Registration (BOC COR).
  • Classify goods using Harmonized System (HS) Codes and determine applicable duties and taxes.
  • Prepare and process documentation for shipping lines, airlines, and regulatory offices such as Bureau of Customs (BOC), Department of Finance (DOF), PEZA, SBMA and others.
  • Screen vendors, manage vendor credentials, and maintain relationships with logistics and service providers.
  • Oversee and manage the financial accounts with VASP (Value Added Service Provider), General Transportation Surety Bonds (GTSB), and Automated Bonds Management System (ABMS) and other accounts required for import, export, customs processes.
  • Prepare and submit both digital and physical import/export entries, including categories like consumption, warehousing, transshipment, informal, and export.
  • Coordinate with customs officers and ensure all customs entries are filed accurately and on time.
  • Collaborate with internal and external stakeholders to ensure timely document submission and approval.
  • Regularly monitor the status of entries and coordinate with customs officers to resolve any issues.
  • Resolve operational issues related to shipping, customs, and other regulating offices.
  • Monitor shipment status, pick-up and delivery, including loading, unloading, and other client requirements to ensure smooth logistical and delivery flow.
  • Manage financial transactions, including employee and vendor liquidations, billing, and receipt processing.
  • Ensure accurate financial records for all transactions and reports
  • Ensure cost control for customs and logistics operations.
  • Maintain detailed and accurate records of all import/export transactions, including both physical and digital documentation.
  • Ensure that all documents comply with regulatory and company standards.
  • Facilitate the retrieval of documents for audits, inspections, or reporting purposes.
  • Support the team by ensuring that all paperwork is properly organized and accessible when needed.
  • Assist the immediate superior and perform additional duties as assigned.

JOB QUALIFICATIONS:

  • Bachelor's degree in Customs Administration or any 4-year related course.
  • With knowledge in customs regulations, Harmonized System (HS) Code classification, and duties/taxes computation.
  • With at least 2 years of Import/export documentation, customs entry processing, and regulatory compliance (BOC, DOF, PEZA, SBMA) experience.
  • With knowledge of logistics, import and export practices, customs regulations, and trade compliance.
  • Familiarity with HS Code classification, ABMS, PEZA, SBMA systems, VASP, and e-filing systems.
  • Preferably residing at Quezon Province

Job Type: Full-time
