We are hiring a
Legal Operations Assistant (LegalOps VA)
to support legal teams with document preparation, case tracking, data verification, and workflow management.

This role is ideal for applicants with experience as a
Legal Assistant, Paralegal Assistant, Legal Admin, or Legal Virtual Assistant
—especially those who have supported U.S.-based clients.

Position Overview

The Legal Operations Assistant is responsible for preparing high-accuracy legal documents and ensuring timely, organized support for Landlord–Tenant legal processes. You will work with detailed data, legal workflows, and compliance forms while maintaining strict accuracy standards.

Key Responsibilities
Legal Document Preparation (Primary Task)

  • Draft and review
    Rent Demands, Petitions, NYCHA forms, and Section 8 compliance documents
  • Follow jurisdictional rules for
    New York, New Jersey, and Connecticut
  • Format, name, and upload legal documents into client systems (CMS, Google Drive, Dropbox, etc.)

Case Management & Administrative Support

  • Track
    deadlines, filing dates, and compliance requirements
  • Maintain accurate case notes, logs, and document versions
  • Support attorneys and paralegals with clerical and administrative tasks

Data Verification & Quality Control

  • Validate tenant information, rent ledgers, notices, and case data
  • Follow strict accuracy protocols to avoid legal errors
  • Identify and escalate discrepancies to Delivery Manager

Client Coordination

  • Clarify missing information and provide progress updates
  • Communicate professionally with attorneys, paralegals, and client staff

Workflow & Process Compliance

  • Follow OnSpot LegalOps SOPs and naming conventions
  • Manage workload based on urgency and client SLAs
  • Suggest process improvements where needed

Qualifications
Required

  • 1–3 years experience as a
    Legal Assistant, Paralegal Assistant, Legal VA, Legal Admin, or similar
  • Strong English written communication
  • High attention to detail and accuracy
  • Experience working with legal documents
  • Ability to work in a fast-paced, deadline-driven environment
  • Proficiency with
    Google Workspace and MS Office

Preferred

  • Experience supporting
    Landlord–Tenant law firms
  • Knowledge of
    Rent Demands, Petitions, NYCHA, Section 8, evictions, tenant ledgers, or housing compliance
  • Experience with U.S. legal case management systems (MyCase, Clio, Leap, etc.)
