The
Front Desk Officer
plays a key role in ensuring a smooth and efficient clinic reception experience. This position is responsible for providing exceptional customer service to patients and guests, managing appointments, and assisting in daily administrative operations to uphold the clinic's service standards.
Client Reception & Customer Service
- Greet and welcome clients with courtesy, professionalism, and warmth.
- Ensure a positive and seamless client experience from arrival to departure.
- Handle client inquiries, feedback, and complaints professionally, escalating concerns when necessary.
Appointment Management
- Manage appointment bookings, confirmations, and rescheduling using the clinic's CRM system.
- Coordinate efficiently with doctors, therapists, and service providers to ensure timely and accurate scheduling.
Front Desk Operations
- Oversee client check-in and check-out processes accurately and efficiently.
- Handle incoming calls, emails, and messages promptly and courteously.
- Maintain the cleanliness and organization of the reception and waiting areas.
Administrative & Billing Support
- Assist in billing, invoicing, and payment processing.
- Ensure accuracy and confidentiality in client records and transactions.
- Promote clinic products, services, and ongoing promotions when applicable.
Qualifications
- Bachelor's degree in Business Administration, Hospitality, Healthcare Management, or a related field (preferred).
- At least
1 year of relevant experience
in front desk, customer service, or clinic operations. - Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities.
- Proficient in using computer systems.
