Human Resources Associate

KEY ACCOUNTABILITIES:
The HR Associate's duties will include, but is not limited to:
- Working closely with all members of the Human Resources Department and other personnel of the School.
Recruitment and Staffing
- Provide strategic leadership for the School's recruitment and staffing efforts, ensuring the attraction, selection, and hiring of qualified personnel who are professionally competent and aligned with the School's Christian mission, values, and culture.
- Plan, manage, and execute the full recruitment lifecycle for teaching and non-teaching positions, including workforce planning support, job posting strategy, candidate sourcing, screening, interviewing, selection coordination, and hiring recommendations.
- Develop and manage job postings across international and local recruitment platforms, professional networks, and approved job boards, ensuring postings are clear, compelling, and reflective of the School's expectations and mission.
- Proactively source candidates through talent pipelines, referrals, partnerships, and recruitment networks to meet both immediate and future staffing needs.
- Conduct thorough applicant screening, including resume review, application evaluation, and initial interviews, to assess qualifications, experience, and mission alignment prior to advancing candidates in the selection process.
- Partner closely with Principals, department heads, and hiring managers to clarify role requirements, selection criteria, and timelines, providing guidance throughout the hiring process and ensuring consistency and fairness in candidate evaluation.
- Coordinate and oversee interview processes, including scheduling, panel preparation, interview protocols, and candidate communication, ensuring a professional, hospitable, and well-organized candidate experience.
- Lead and coordinate reference checks, background screening, and verification of credentials in accordance with school policies and regulatory requirements.
- Prepare and coordinate employment offers, including salary recommendations within approved frameworks, contract documentation, and offer presentations, working closely with the Director of Human Resources and school leadership.
- Maintain accurate and confidential recruitment records, applicant tracking data, and hiring documentation, ensuring compliance with internal procedures and data privacy standards.
- Monitor recruitment metrics and timelines, identify trends and staffing challenges, and provide regular recruitment updates and recommendations to the Campus Principal.
- Continuously evaluate and improve recruitment practices, systems, and candidate experience to strengthen the School's ability to attract and retain high-quality, mission-aligned staff.
Off-boarding
- Facilitate the off-boarding process, including exit interviews, clearance processing, and final pay preparation.
- Update HR records and systems to reflect employee departures.
Notice of Personnel Action (NPA) Management
- Prepare and process Notices of Personnel Action (NPAs) for employee changes, including promotions, transfers, and terminations.
- Ensure that NPAs are accurate, properly documented, and communicated to relevant parties.
Records & Data Management
- Manage HR online, digital, and printed records and files, including but not limited to Google Drive, HR email, and physical documents.
- Ensure and maintain the confidentiality of all records and information.
- Track resigned employees and update relevant records to reflect changes in employment status.
Events Management
- Assist in planning and organizing HR-related events, including employee engagement activities, training sessions, and annual orientations.
- Ensure the successful execution of events, contributing to a positive organizational culture.
- Any ad hoc tasks that may be assigned by the Campus Principal.
KEY COMPETENCIES:
Experience/Qualifications
- Graduate of Bachelor of Library and Information Science
- Have related work experience of at least 2 years
Knowledge
- Cataloging, collection development, and managing library resources are fundamental.
Skills (including technology)
- Good MS Powerpoint knowledge
- Excellent in MS Excel knowledge
- Must have good interpersonal skills
- Strong IT skills and familiarity with the use of databases and the internet.
- Excellent administration and organisational skills.
- Has the ability to manage projects and give presentations
- Has the ability to work with people from a range of backgrounds and with a range of needs
