Role Overview

We are seeking a proactive and organized Construction Operations Virtual Assistant to provide comprehensive administrative and operational support for our construction projects. The ideal candidate is detail-oriented, experienced with tools like AppFolio, QuickBooks, and Excel, and comfortable managing project timelines, documentation, and budget tracking. You'll play a vital role in keeping construction operations efficient, organized, and well-coordinated across all stakeholders.

Key Responsibilities

  • Track and update project schedules, ensuring milestones and deadlines are met.
  • Maintain accurate and up-to-date project documentation and reports.
  • Use AppFolio and QuickBooks to manage financial records, budgets, and expense tracking.
  • Coordinate communications among clients, vendors, and internal teams to ensure clear project updates.
  • Support project managers with administrative tasks and document organization.
  • Maintain organized project files for easy reference and operational continuity.
  • Identify inefficiencies and suggest improvements to streamline operations.

Mandatory Skills

  • Hands-on experience with AppFolio for project portfolio management.
  • Proficiency in Excel for data tracking, reporting, and analysis.
  • Basic QuickBooks knowledge for invoice and budget tracking.
  • Excellent written and verbal communication skills in English.
  • Strong organizational and multitasking skills.
  • High attention to detail and ability to work independently in a remote setup.
  • Reliable internet connection and professional time management.

Preferred Skills

  • Background in construction or real estate operations.
  • Familiarity with Procore, Buildertrend, or similar construction management platforms.
  • Prior virtual assistant experience in an operations-related role.
  • Understanding of construction workflows and basic financial reporting.
