Accounts Officer

Reports to: Managing Director / Lead Coordinator

Employment Type: Full-time / Part-time / Project-based

Location: Remote / On-site / Hybrid

Job Summary

The Accounts Officer plays a key support role in ensuring seamless coordination between clients, vendors, and the internal planning team. They are responsible for handling communication touchpoints, following up on vendor requirements, managing documentation, and maintaining smooth relationships to help ensure each event runs efficiently.

Key Responsibilities

Client Coordination

Act as point of contact for client queries regarding timelines, deliverables, and required documents

Provide regular updates and follow-ups on project milestones

Assist in gathering client inputs (guest list, supplier preferences, etc.)

Schedule meetings, reminders, and walkthroughs with clients as needed

Vendor Coordination

Reach out to vendors for quotations, availability, and requirements

Follow up on deliverables, payments, permits, or documents related to bookings

Maintain vendor contact list and help keep supplier tracker updated

Relay technical and logistical requirements from vendors to internal team

Administrative & Project Support

Assist in building event-specific trackers (budget, checklist, logistics)

Update client files and ensure all data is organized in the project folders

Help prepare event documents like contracts, agreements, and briefing kits

Encode and track payments made or due to vendors with the finance team

Compile feedback from clients and vendors post-event

Communication & Calls

Handle outbound calls to vendors, suppliers, and event partners

Escalate urgent matters or client concerns to the planning team

Coordinate with on-the-day team to confirm event logistics

Optional Involvement

Opportunity to join the On-the-Day Team for select events

Participation is subject to availability and team needs

Separate talent fee will be provided for on-site support roles

Qualifications

Strong organizational and multitasking skills

Excellent communication skills (written and verbal)

Professional and courteous demeanor on calls and in messages

Proficiency in Google Workspace (Docs, Sheets, Calendar, etc.) and Notion

Familiarity with event planning processes is a plus

Can work independently and meet deadlines

Bonus Points (Optional but Preferred)

Background in customer service, client management, or coordination

Previous experience in an events or wedding planning company

Comfortable working flexible hours when close to event dates
