About the role: We are looking for a highly organized and detail-oriented Admin & Systems Support Executive to join our growing team. This individual will play a crucial role in ensuring smooth operational and administrative processes across our Asia offices, with a strong focus on onboarding, systems administration, reporting, and office supply management. The role requires someone who can work independently, think logically, and remain polite and professional while working with colleagues across different time zones.

Key Responsibilities:

  • Create and maintain profiles/accounts for new hires across systems (Salesforce, telephone systems, Broadbean, etc.)
  • Generate reports and dashboards, including monthly, ad-hoc, and client-specific MI reports.
  • Update currency conversions on Salesforce and ensure data accuracy.
  • Gather and report on client and candidate feedback.
  • Draft, upload, and distribute terms of business amendments and variations.
  • Coordinate procurement of company gifts, office stationery, and supplies for Asia offices.
  • Manage starter and leaver processes, ensuring seamless onboarding and timely system deactivation and equipment returns.
  • Maintain and update the company's asset register.
  • Manage internal anniversaries, prepare LinkedIn posts, and liaise with relevant managers.
  • Audit permanent placements for compliance before updating Salesforce for invoicing.
  • Provide general administrative support, including CV formatting, preparing presentations, and assisting multiple offices.
  • Provide coverage for the Contractor Compliance team during absences or peak periods.

Qualifications & Skills

  • Bachelor's degree in Business Administration, Management, or related field (preferred).
  • At least 5 years relevant experience in administrative support, preferably within the recruitment or consulting industry.
  • Experience working with international organizations (required).
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint) and familiarity with OneDrive and SharePoint.
  • Experience with Salesforce is an advantage; familiarity with similar CRM tools is acceptable.
  • Strong organizational, planning, and time-management skills.
  • Exceptional attention to detail, accuracy, and ability to work calmly under pressure.
  • Strong problem-solving and logical thinking skills.
  • Excellent verbal and written communication skills; able to build strong professional relationships.
  • Self-motivated, independent worker with a polite and professional demeanor.
