
Facilities and Administration Manager

Job Description:
We are looking for a proactive and detail-oriented Facilities and Administration Manager to oversee and manage day-to-day office operations, ensuring efficient facility management and smooth administrative functions.
Key Responsibilities:
- Manage regular office expenses including maintenance, stationery, rental, communications equipment, pantry, and cafeteria operations.
- Oversee maintenance of office furniture, fixtures, and equipment.
- Manage communication systems such as telephones, video conferencing, mobiles, and related equipment.
- Coordinate with vendors and service providers, ensuring contracts are implemented and maintained.
- Handle procurement, bill payments, petty cash management, and ensure timely processing through company systems.
- Maintain accurate records of invoices, bills, contracts, and vendor agreements.
- Ensure compliance with company policies, environmental standards (ISO 14001), and health & safety regulations.
- Coordinate office refurbishment and maintenance projects.
- Manage premises handover and takeovers during lease expirations.
- Support internal customer service by responding to inquiries and troubleshooting issues.
- Monitor adherence to administrative SOPs and information security policies.
Qualifications:
- Bachelor's degree in Business Administration, Facilities Management, or related field preferred.
- At least 5 years of experience in office administration, facilities management, or related roles.
- Strong knowledge of vendor management, contract negotiation, and expense control.
- Proficient in Microsoft Office Suite and familiar with office management software.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
- Ability to work independently and as part of a team.
- Knowledge of health, safety, and environmental compliance is an advantage.
