Virtual Assistant to VP of Procurement

The Opportunity:The Virtual Assistant to the VP of Procurement will provide comprehensive administrative and operational support to ensure smooth purchasing operations and effective vendor management across the organization. This role involves coordinating procurement workflows, maintaining vendor communications, and supporting facility-level purchasing activities. The ideal candidate is detail-oriented, proactive, and capable of managing multiple priorities in a remote environment while maintaining clear communication and confidentiality.
This position is remote and offers you the flexibility of working from home.
Key Responsibilities:Purchasing Operations Support
- Assist in managing procurement workflows, vendor relationships, and purchasing
- approvals.
- Follow up on backorders, delivery timelines, and vendor-related issues.
- Support onboarding of new vendors, including documentation, account setup, and
- payment term arrangements.
Facility Communication & Support
- Act as a liaison between the VP of Procurement and facility administrators, department
- heads, and maintenance staff.
- Track incoming purchasing requests from facilities and relay necessary approvals or
- instructions.
- Ensure orders are accurate, delivered on time, and gather feedback from facilities on
- purchasing outcomes.
Project & Special Initiative Support
- Assist in sourcing projects, equipment rollouts, and vendor transitions.
- Help coordinate and track progress on procurement-related initiatives across departments.
- Provide support for data collection, reporting, and vendor research as needed.
- Excellent English proficiency (written and verbal) is a must.
- Strong computer skills, including proficiency in Microsoft Excel, Word, and other
- collaboration tools.
- Ability to manage multiple priorities, communicate clearly, and maintain confidentiality.
- Detail-oriented with excellent follow-through and time management skills.
- Previous experience in procurement, operations, or administrative support is preferred but not required.
- Must be a self-starter with the ability to work independently in a remote environment
Industry standards applicable to the state depending on work experience and level of expertise.
Hours:US Eastern Standard Time (EST) –9am to 6pm
