About the Client:
The Client runs a fast-growing Digital Marketing and AI Agency that already employs specialized staff (web developer, ads manager, SEO person). The Owner is seeking immediate support to manage daily operational gaps, ensuring the specialized staff can focus on high-level work. The priority is finding a reliable, friendly, and autonomous individual who has a foundational understanding of digital marketing to support client communications.
About the Role:
We are hiring a Full-Time Virtual Assistant (VA) to serve as the critical support professional who can fill in all those gaps and manage the daily administrative flow. This is an essential role for ensuring the entire team operates efficiently. The ideal candidate must be a self-starter and possess a strong combination of customer service skills and basic marketing knowledge.
- Own the Inbox: Triage and manage high-volume client email communications (10+ actionable emails per hour).
- Draft and Send Replies: Compose professional, timely responses to client inquiries, providing status updates, and offering feedback/notes.
- Escalation: Confirm receipt of complex items and escalate them to the founder or specialist team (web, ads, SEO) with clear summaries and next steps.
- Non-Standard Hours Coverage: Monitor and respond to urgent communications when the founder is offline or engaged in meetings/travel.
- Simple Task Execution: Complete quick, one-off tasks that do not require specialist training, such as:
- Implementing simple website updates or creating basic promotions (e.g., 10% off sales).
- Assisting with administrative and organizational tasks.
- Performance Monitoring (Read-Only): Look up basic performance data in ad platforms (Google Ads, Facebook Ads) to answer client queries (e.g., "How much did we spend last month?").
- Basic Tooling Familiarity: Demonstrate a basic working knowledge of common digital marketing tools and platforms.
Qualifications & Requirements
Soft Skills & Personality- Friendliness & Attitude: Must be very friendly, outgoing, proactive and excited to work.
- Customer Service Baseline: Must have strong customer service experience and be accustomed to communicating with US-based clients.
- Confidence & Assertiveness: Must be a go-getter who is comfortable acting autonomously and not passive or timid.
- Digital Marketing Baseline (Required): Must have a basic understanding of WordPress, Google Ads, and Facebook Ads.
- Basic Design: Proficiency in Canva is required for simple design tasks.
- Software Familiarity: Familiarity with project management tools like is a plus.
