We are looking for a highly organized, detail-oriented, and proactive Project Coordinator to join our team as the "Traffic Controller": the person who ensures our projects stay on track, on time, and on budget.

While our strategists and developers focus on building solutions, you will own the workflow. You will oversee project schedules, coordinate internal resources, and ensure that our delivery engine runs smoothly. If you love checklists, clear communication, and turning chaos into structured progress, this role is for you.

1. Project Planning & Workflow Management

  • You will be the heartbeat of our production line. Your primary goal is to ensure that every project has a clear path to completion.
  • Own the Timeline: Create and maintain detailed project schedules, ensuring all milestones are realistic and visible to the team.
  • Task Management: Break down complex scopes of work into actionable tasks for developers and designers using our project management tools (e.g., ClickUp).
  • Blocker Removal: Proactively identify potential bottlenecks or resource conflicts before they become problems and work with leadership to resolve them.

2. Client & Team Communication

  • You are the bridge between our technical team and our clients. You ensure everyone knows what they need to do and when, leaving no room for ambiguity.
  • Manage Client Communications: Serve as the primary point of contact for clients regarding project status, timeline updates, and incoming requests. You ensure they never have to ask, "Where are we at?"
  • Traffic Control: Assign daily and weekly tasks to our remote team of developers and designers based on capacity and skillset.
  • Internal Huddles: Lead daily stand-ups or syncs to track progress, ensuring the team stays aligned and unblocks issues immediately.

3. Operational Support (The Oil in the Machine)

  • We run on EOS (Entrepreneurial Operating System), and you will help maintain the discipline required to keep our operations flawless.
  • Process Improvement: Help document and refine our Standard Operating Procedures (SOPs) for project delivery.
  • Reporting: Provide weekly updates on project health, budget usage, and resource utilization to the leadership team.
  • Quality Gatekeeper: Review deliverables against the project scope to ensure everything is complete and meets our standards before it reaches the client.

Requirements

  • Experience: 1-3 years in a Project Coordination or Traffic Manager role, preferably in a digital or marketing agency.
  • Tech Stack: Familiarity with project management software (like ClickUp) is non-negotiable. 
  • Experience with HubSpot or other CRM tools is a massive plus.
  • Skills: Exceptional organizational skills, strong written English communication, and the ability to manage multiple timelines without flinching.
