Are you organized, detail-oriented, and eager to play a key role in keeping projects on track? We're looking for a Japanese-Speaking Admin and Project Support Specialist who can bridge communication, support project workflows, and handle essential administrative tasks.

In this role, you'll contribute to smooth project execution through accurate documentation, tracking and coordination, while also providing general administrative and HR support when needed.

This position is ideal for someone who thrives on structure, values precision, and enjoys supporting both people and processes.

What You'll Do?

  • Track ongoing projects, update progress reports, and maintain project documentation.
  • Assist in creating and updating Work Breakdown Structures (WBS), timelines, and process diagrams using project management tools.
  • Coordinate with internal teams to gather updates, consolidate feedback, and ensure deadlines are met.
  • Provide administrative support, including scheduling, preparing reports, and maintaining records.
  • Support HR-related tasks such as onboarding documentation, employee coordination, and file management.
  • Draft and organize policies, procedures, and workflow documentation as needed.
  • Act as a bridge in communication by leveraging Japanese language skills in documentation or conversations when required.

  • Minimum of one (1) year job experience preferably in the related field.
  • Ability to communicate in Japanese within a business environment is required.
  • Excellent written and verbal communication skills in English
  • Experience in using Microsoft Office, Microsoft Outlook, Microsoft Teams, and Microsoft SharePoint.
  • Experience in using project management tools (Trello, Jira, Draw io, Figma or similar)
  • Experience in writing policies and procedures is valued, though not required.
  • It is an advantage to have knowledge or experience in the Electronic Money Issuers (EMIs) and/or Virtual Asset Service Providers (VASP) industry or similar regulatory bodies.
