Role: People & Culture Assistant

Work Arrangement: Work from Office

Location: Philippines - Angeles (Pampanga)

Schedule: Morning Shift

Job Description:

People Operations & Administration

  • Maintain accurate employee records and manage HRIS, ensuring all data is up to date.
  • Prepare employment contracts, variation letters, and other P&C-related documentation.
  • Support payroll processes by collecting, checking, and updating employee data.
  • Track and manage compliance requirements such as NDIS Worker Checks, Working with Children Checks, driver and forklift licences, and workplace health and safety documentation.
  • Assist in reviewing and updating People & Culture policies and procedures.
  • Assist with employee offboarding, including exit interviews and final payroll processes.

Recruitment & Onboarding

  • Coordinate job postings, candidate communications, and interview scheduling.
  • Conduct candidate screenings and assist with pre-employment checks and reference processes.
  • Organise onboarding activities, ensuring new starters receive a welcoming and well-prepared induction experience.

Learning & Development

  • Assist with scheduling internal and external training sessions.
  • Maintain training and development records, ensuring compliance with mandatory training requirements.
  • Support the delivery of learning programs that strengthen skills and capability across the business.

Employee Experience & Engagement

  • Be a point of contact for employees regarding People & Culture policies, processes, and general enquiries.
  • Assist in planning and coordinating staff events, engagement activities, and training programs.
  • Assist with annual employee engagement surveys and/or regular pulse surveys, including data collation and reporting.
  • Assist with annual performance reviews and mid-year check-ins, ensuring timely completion and documentation.
  • Contribute ideas and support initiatives that promote wellbeing, inclusion, and a positive workplace culture.

Projects & Continuous Improvement

  • Provide administrative support for People & Culture projects and initiatives.
  • Help streamline processes and contribute to improving employee lifecycle touchpoints.
  • Prepare reports, updates, and communications as needed.

Qualification and requirements:

Experience:

  • 1-2 years of relevant experience in human resources or administrative roles, gained through employment
  • Familiarity with core HR processes, including recruitment, record-keeping, and office management practices

Qualifications:

  • Required: Bachelor's degree in Human Resources, Business Administration, or a related discipline
  • Preferred: Training or certification in HR systems or office management tools

Software:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) for preparing documents and managing data
  • Familiarity with HR systems such as BambooHR, Workday, or Zoho People is an advantage

Personality Match / Soft Skills:

  • Strong organisational skills and attention to detail.
  • Excellent communication and relationship-building abilities.
  • Ability to manage confidential information with discretion and integrity.
  • Proficiency with Microsoft Office; experience with HRIS desirable.
  • Administration or people support experience advantageous.
  • Proactive, approachable, and people-focused mindset.
  • Certificate, diploma, or tertiary qualification in Human Resources, Business, or a related field desirable.

Non-negotiable skills & requirements:

  • Minimum of 1 year's experience in HR or administrative roles, through employment or relevant internships
  • Proficiency in Microsoft Office Suite and familiarity with HR systems
  • Bachelor's degree in Human Resources, Business Administration, or a related field
  • Demonstrated ability to provide effective support for HR and administrative functions with professionalism and accuracy
  • Good communication skills (Able to talk to stake holders and AU employees well)
