Finance and Administrative Associate

Location: Maysilo Circle, Mandaluyong City

About the Role:

We are seeking a highly organized and detail-oriented Finance and Administrative Associate to join our growing team. This role is primarily responsible for reviewing, verifying, and reconciling daily sales and expense reports from all store branches. The associate ensures the accuracy and integrity of financial data, facilitates coordination with suppliers and external partners, and supports compliance-related documentation and reporting requirements.

This position also plays a key role in consolidating financial records for internal use and acts as the main liaison with our third-party accounting firm for BIR submissions and regulatory compliance.

Key Responsibilities:

  • Monitor, validate, and record daily sales and expense reports submitted by each branch
  • Reconcile branch-reported figures with internal system data to ensure accuracy
  • Maintain detailed logs of branch-level transactions and supporting documentation
  • Prepare financial summaries and internal reports for the Managing Partners
  • Coordinate with suppliers, service providers, and external partners for billing, invoicing, and payment-related concerns
  • Manage supplier coordination for booking of deliveries, ensuring timelines and documentation are properly handled
  • Ensure timely processing of payments, including securing approvals and verifying completeness of supporting documents
  • Assist in reconciling branch sales and expenses to support accurate financial reporting
  • Work closely with the external accounting firm in providing complete and accurate data for BIR filings and other statutory requirements
  • Monitor and follow up on incomplete, delayed, or inconsistent financial submissions
  • Provide support for other finance and administrative tasks as assigned

Qualifications:

  • Bachelor's degree in Accountancy, Finance, Business Administration, or a related field
  • At least 1 year of relevant experience in bookkeeping, accounting, or administrative finance
  • Solid understanding of basic financial reconciliation and general accounting procedures
  • Proficient in Microsoft Excel and/or Google Sheets
  • Strong organizational skills and keen attention to detail
  • Effective communication and coordination skills, especially in working with external vendors or partners
  • Familiarity with BIR documentation and processes is an advantage but not required
