DUTIES AND RESPONSIBILITIES:

  1. Team Leadership and Supervision:

  2. Lead and manage a team of buyers, ensuring tasks are completed efficiently and in line with departmental goals.

  3. Oversee the hiring process for purchasing personnel, including conducting employee interviews and reviewing departmental job descriptions.
  4. Provide training and development to purchasing staff to improve skills and ensure professional growth.
  5. Operational Management & Oversight:

  6. Ensuring all procurement operations are running smoothly, efficiently, and cost-effectively. This includes overseeing day-to-day purchasing activities, managing resources, optimizing supply chain operations, and ensuring compliance with organizational goals.

  7. Supplier Management:

  8. Approve Cost Comparison Analysis (CCA), Local Costing (LC), and Foreign Costing (FC).

  9. Identify and develop relationships with reliable suppliers and vendors.
  10. Negotiate contracts, prices, and terms with suppliers to secure the best possible deals.
  11. Manage Supplier Accreditations.
  12. Manage Purchase Orders (POs) and associated Bills.
  13. Manage Prepayments & Full payments
  14. Manage Broker & Forwarder Nominations.
  15. Manage Releasing Expenses.
  16. Manage Pricelists
  17. Manage Return Items.
  18. Vendor Performance Evaluation:

  19. Monitor supplier performance through regular assessments, including delivery times, quality, and compliance with contract terms.

  20. Resolve disputes and issues with suppliers, ensuring the company's standards are met.
  21. Order Management:

  22. Place orders for goods and services in line with company needs and production schedules.

  23. Collaborate with planning and inventory teams to maintain appropriate stock levels and minimize excess inventory.
  24. Identify reports needed in purchasing to measure departmental performance
  25. Oversee the on orders to ensure timely delivery and resolve any issues related to product quality, delivery delays, or incorrect orders.
  26. Cost Management and Budgeting:

  27. Oversee and manage the purchasing budget, ensuring that the company gets the best value for its purchases.

  28. Perform cost analysis and develop strategies to reduce expenses while maintaining product quality and service standards.
  29. Ensure purchasing decisions are aligned with the company's financial goals.
  30. Inventory Control:

  31. Monitor inventory levels to avoid overstocking or stockouts.

  32. Implement inventory management systems to track stock and streamline the purchasing process.
  33. Ensure inventory is updated and reports are accurate for financial tracking.
  34. Compliance and Risk Management:

  35. Ensure all purchasing activities comply with internal policies, industry standards, and legal requirements.

  36. Mitigate any potential risks related to supply chain disruptions or supplier insolvency.
  37. Data Analysis and Reporting:

  38. Analyze procurement data and trends to identify areas for improvement and cost-saving opportunities.

  39. Prepare regular reports on procurement activities, including costs, savings, and supplier performance, for senior management.
  40. Collaboration with Other Departments:

    • Work closely with production, finance, and operations teams to understand their needs and ensure procurement aligns with organizational goals.
    • Participate in strategic planning sessions to forecast future needs based on sales forecasts, production schedules, or seasonal demand.
